First, let me express appreciation for the difficulty you of course have in trying to work out the best thing with hotels, re-schedules, but without exposing to a large loss.
Im sure its a hard “game play"

In the same vein as Richard and Randy, I also affirm that the great success of CHEP is that it is “the” HEP computing conference we all try to go to and can meet our
long time colleagues face to face, which is so important to do from time to time.
So many initiatives get sparked at a f2f CHEP that could never happen at a virtual meeting.
Im sure the whole IAC has a similar feeling.
So I endorse taking the long view and trying to re-schedule CHEP for 2022 in Norfolk.

Regarding 2021, my a priori feeling is not to do many “CHEPinos” in 2021. Leave that to other vehicles.
My feeling is to go ahead with a single full virtual-CHEP of some form in 2021, to keep the tradition of CHEP established etc…
and provide a focal point for the year.
But plan on it only being this once for exceptional reasons.
Im not wedded to this, and will be interested in the discussion.

All the best

Pete

Dear CHEP IAC,

Greeti ngs!

Jefferson Lab has a new events coordinator on staff, Anita Seay. Her first action was to negotiate with the hotels and the city of Norfolk about the possibilities concerning CHEP2021. The negotiating position is much stronger now than in May. The City of Norfolk and the hotels are making a recommendation to the hotels’ corporate offices of moving the conference without penalty to either Spring or Fall of 2022 if we can sign a contract that commits to an event in Norfolk in 2022 at the original number of attendees.

This is not the standard process for selecting the next CHEP, I know. Unusual times call for unusual actions. However, please let us know if you concur or not with the prospective date change

We can then discuss what to do about 2021 as well. I like the idea of Regional virtual ‘CHEPinos’ with maybe some abbreviated ‘plenary’ format.

The alternative is to proceed with the planning for an in-person CHEP2021 for reasons I’ll explain when we next meet.

Thank you so much, and we request a response by Sept 1.
