I also fully agree with the proposal of moving CHEP to 2022. At the same time Marco has an important point that i would also like to stress, namely on a synchronisation with ACAT as both conferences are being moved because of the current constraints and it would be nice to ensure a time gap between the two. There is a fair overlap of audiences
between the two and it is important to avoid close succession.
Cheers, Maria

I concur with everything that has been said so far:
- Postpone CHEP in Norfolk to 2022, and make it a traditional “fully in-presence” format if at all possible by then
- Reach out to the HSF/WLCG/OSF workshop organisers to co-organise themed virtual workshops (or CHEPinos) in 2021. Maybe extend it also to Hepix?
- Encourage the use of existing journals to publish papers that cannot wait for the next CHEP proceedings
Just one word of caution: we should also work with the ACAT organisers to ensure a coherent overall approach, in particular to ensure that in 2022 the two conferences do not happen in quick succession. There may be other conferences that are rescheduling into what might become a very busy few months.

Hi Amber,
I’m glad to see that my opinion aligns with those expressed on this thread. I really do not think that we can get >400 international participants to Norfolk next year. It’s great that you were able to negotiate a way to postpone it to 2022 and we should support your good work on this.
Regarding CHEPinos, I think we should work with HSF/WLCG/OSG to organize regardless of branding. Also don’t forget that all are invited to participate in the Snowmass process which will be in full swing by that time next year. Just as with the EU Strategy, the US process also welcomes international participation. I know that one of your goals was to bring closer collaboration with NP, does that community have a similar strategy process? It is easier to blur boundaries with virtual meetings, so in my view we should get that + from next years meetings to balance out all of the negatives of not meeting in person.
Cheers, Liz

Dear all,
I also support Pete, James and others about moving CHEP in Norfolk in 2022. This seems to me the most sensible decision given the uncertainties and given the fact that as I understand there is good chance that this will work financially.
For 2021, I think our community will benefit from a conference in Computing for High Energy Physics in the timescale of May. That would be an online conference in my opinion, like it happened for other big conferences line ICHEP this year. The point is that particularly younger people in early stages of their career (but not only) will have an opportunity to present their work, have the proceedings published in a journal, etc .. It will also offer the possibility to set a natural deadline for some of the work being done. The risk is that otherwise many of the fellows or first year postdoc will finish their first working experience without any of that, that is not good in my opinion. It is not obviously as ideal as an in-person CHEP because of the networking aspects Pete highlighted, but it is the best we can probably do.
As may others, happy to discuss this further in the next IAC.
Cheers
Simone

Dear Amber, all,
Let me add my voice to supporting the move to 2022 (as indicated in the poll). It seems to me to be the pragmatic decision in the circumstances.
On the CHEP-inos, I would also like to suggest that any such meetings are arranged jointly with HSF/WLCG, and therefore I’d like to encourage a discussion with Graeme and Simone on this topic before any concrete plans are made.
Finally, many thanks to Amber and her JLAB colleagues for dealing with this decision in such a practical way.
Best wishes,
James.

Dear CHEP IAC,
Greetings!
Jefferson Lab has a new events coordinator on staff, Anita Seay. Her first action was to negotiate with the hotels and the city of Norfolk about the possibilities concerning CHEP2021. The negotiating position is much stronger now than in May. The City of Norfolk and the hotels are making a recommendation to the hotels’ corporate offices of moving the conference without penalty to either Spring or Fall of 2022 if we can sign a contract that commits to an event in Norfolk in 2022 at the original number of attendees.
This is not the standard process for selecting the next CHEP, I know. Unusual times call for unusual actions. However, please let us know if you concur or not with the prospective date change

We can then discuss what to do about 2021 as well. I like the idea of Regional virtual ‘CHEPinos’ with maybe some abbreviated ‘plenary’ format.
The alternative is to proceed with the planning for an in-person CHEP2021 for reasons I’ll explain when we next meet.
Thank you so much, and we request a response by Sept 1.
