Dear all,

I am a bit more optimistic regarding the possibility to travel next year than the majority of the list, but of course I fully understand that the financial risk must be minimised. Having been now in some of these pure Online events makes me appreciate a “classical”
conference much more than I had before the Covid-crisis (and I still have the fondest memories of my first CHEP in Victoria). It has been mentioned that not having a conference in 2021 might make some younger colleagues miss the opportunity for their first
“big” paper during their current contract and given how hard (impossible) it is to place some of our technical work in other computing conferences this is I think a real concern. Maybe around some of the proposed “replacement” events one could organise a
light-weight special edition of a journal to give an opportunity for a “real” publication? Of course even with a light-weight editing process as customary for CHEP proceedings this is still a fair amount of work.

It seems to me that in the mid-term what could be useful to have for a big conference like CHEP is a kind of standing account, (maybe fed by the occasional small surplus?) which could be used as an “insurance” in situations such as the present, so that the
organizers of future events have a bit more freedom when weighing cost and benefit and risk. Of course we all hope that such an event as Covid remains the rare exception.

Best regards,

Niko

First of all, I would like to thanks Amber and the full team for organize this conference in a such difficult time.

I also support the move to 2022. In addition, as said by Marc will be very important that the different important computing conferences define their new schedule avoiding as much as possible overlap. So will be very important that the different organize
committee work together to define new dates.

Themed virtual workshops in 2021 should be encouraged.

Let's hope that in between a COVID vaccine is discovered, produced and distributed worldwide, in a way that we can safety restart to travel and have the usual nice conferences in person.
Dear CHEP IAC,

Greetings!

Jefferson Lab has a new events coordinator on staff, Anita Seay. Her first action was to negotiate with the hotels and the city of Norfolk about the possibilities concerning CHEP2021. The negotiating position is much stronger now than in May. The
City of Norfolk and the hotels are making a recommendation to the hotels’ corporate offices of moving the conference without penalty to either Spring or Fall of 2022 if we can sign a contract that commits to an event in Norfolk in 2022 at the original number
of attendees.

This is not the standard process for selecting the next CHEP, I know. Unusual times call for unusual actions. However, please let us know if you concur or not with the prospective date change
a quorum of you do, and the corporate offices agree, Graham, Anita and I will submit an updated proposal to this body and we can discuss dates.
We can then discuss what to do about 2021 as well. I like the idea of Regional virtual ‘CHEPinos’ with maybe some abbreviated ‘plenary’ format.
The alternative is to proceed with the planning for an in-person CHEP2021 for reasons I’ll explain when we next meet.
