[Clas12_calcom] Subsystem calibrators at CALCOM

Dear CLAS12 Subsystem Calibrators:
At the beginning of spring of this year the CLAS Coordinating Committee (CCC) approved a new role for CALCOM to coordinate
the Run Group dataset calibrations. In this role the CALCOM group sets the priorities and works with the Analysis Coordinators
to set the timelines for completing the work. This coordination is essential as we have one set of subsystem calibrators that are
in place to deal with the calibrations of all datasets for the different Run Groups. It is imperative that sufficient time is set aside
for the calibrations to be done with care and that you are not overwhelmed with requests for work given that you have many other
tasks to do in addition to your calibration service work.
The tension in all of this coordinating is that data has been collected so far for 4 different Run Groups (A, B, F, K) and we have much
data left to calibrate spanning multiple run periods. We need to get this work done in as efficient and timely a manner as possible and
we already understand that recalibrations of the detector subsystems will have to be redone in a number of cases before pass-2 cooking
next year. Of course as time goes on, other Run Groups will be coming along and needing calibration.
As advertised at CALCOM the published list of the calibration order and priorities is posted at:
https://clasweb.jlab.org/wiki/images/3/3d/Calib-order-08212020.png. The only way to keep on schedule given everything that we need
to do is to have very good communication between CALCOM, the Analysis Coordinators, the chefs, the subsystem group leaders, and you
the calibrators.
To improve the communication and help this process along, the first part of every week’s CALCOM meeting (Friday at 10 a.m. JLab time)
focuses on the ongoing calibration work, timelines and priorities. As a subsystem calibrator, you regular presence at these meetings is
required so that you can make sure that your work is reported along with any issues that you may have experienced. In this manner you
can attend 1 meeting each week instead of separate meetings for each Run Group!

different subsystems.
