Dear RG representatives
<div class="">as you know I asked the link persons of the RGs that
will be able to run in CY23 and CY24 (CY22 is already booked by
RGC) to provide one page with information useful/necessary to
define the Hall-B proposal in the upcoming scheduling
discussion.</div>
<div class="">Having in mind that we want to have all RGs that
went trough an ERR to collect a significant fraction of their
data (>40-50%) and some RGs already did, the list will be
limited to:</div>
<div class="">- RG-K (only collected 12% of the assigned PAC days)</div>
<div class="">- RG-D</div>
<div class="">- RG-E</div>
<div class="">- RG-L</div>
<div class="">I’d like to have <b class="">a meeting next week</b> with
Hall-B staff members (in CC) to discuss with you the readiness
of your RG</div>
<div class=""><br class="">
</div>
<div class="">Please <b class="">prepare 1 slide</b> (just one!)
with the following information:</div>
<div class=""><b class="">- Run conditions:</b> </div>
<div class="">— PAC rating of the experiment</div>
<div class="">— Beam energy, beam current, polarisation</div>
<div class="">— number of PAC days granted</div>
<div class="">— dedicated detector/target/component (NOT YET
PRESENT IN CLAS12 AS PER TODAY)</div>
<div class="">— any special requirement</div>
<div class="">-<b class=""> SW status</b> (in case you have
dedicated non-standard equipment)</div>
<div class="">— implementation in GEMC</div>
<div class="">— implementation in REC code</div>
<div class=""><b class="">- ERR status</b></div>
<div class="">— any issues raised by the ERR still pending</div>
<div class="">— workplan to respond and clear the review</div>
<div class="">— status of any PAC requests (beside ERR) </div>
<div class=""><br class="">
</div>
<div class="">In case you are not able to run immediately (either
because some components are not ready or you still need the full
ERR approval)
<b class="">prepare +1 slide</b> (just one) with
timeline/workplan/milestones to be ready to run for the
proposed date.</div>
<div class=""><br class="">
</div>
<div class="">I strongly encourage RG representatives to discuss
among you (in particular RGD and RG-E) to see if different RGs
could run in parallel. Any possibility will simplify the
scheduling process and increase the chance to have your
experiment firmly scheduled.</div>
<div class=""><br class="">
</div>
<div class="">Please<b class=""> fill the doodle by Friday Oct 8
at noon</b>. I’ll send the date by Friday COB.</div>
