All,

For the past month we have working together on preparations for the
IT review in June. I believe things are heading in the right direction
and on a healthy pace. We have excellent people working hard to make
this review successful for Hall B. We have a good plan to demonstrate
the advantages and viability of the CLARA architecture, we have great
simulation and tracking software that are being updated and further
improved, and calibration and particle identification have started. Many
of the ingredients needed for the event builder are being worked on. It
is then a matter of putting things together in a transparent way to
achieve a major milestone. We have great event display software and we
can demonstrate on at least one example how the service oriented network
works in practice. We will have a detailed timeline with milestones and
associated people-power that shows the software development plan until
Day 1 (in 2015), and we will have a chart showing the software
architecture and a poster for our PR effort (Open House).

We will need a document that we hand to the review committee that
contains a description of our approach, and the plan for the future, and
where we currently are in this project. In parallel there is an effort
underway, led by Raffaella De Vita, Dan Carman, and Dennis Weygand to
coordinate the CLAS12 detector commissioning. This will be a
comprehensive document available by the time of the review that we can
utilize. We may want to select PCAL as a specific example for the
review, where Cole Smith has done excellent work on the full cosmic ray
calibration of the first two detector modules.

While there are many actors contributing to achieve the goals we set
forth for this review, it is essential to have a senior leadership team
in place to provide consistent and smooth guidance. Dennis Weygand has
assumed overall responsibility. He is helped by Vardan Gurjyan, Jerry
Gilfoyle, David Heddle, and Gagik Gavalian, who also have their
individual responsibilities. In addition, Mac Mestayer is developing the
timeline of the project, and has agreed to make significant
contributions in preparing the document for the review. Ken Hicks is in
Japan until June, and so he will not be able to directly be involved,
but I am sure he will have input on any document we will produce during
the next weeks and months.

===> The next SRP meeting will be tomorrow Friday 3:30pm in CC room A110
===> Agenda: Progress reports and path forward

As a reminder, we have been given a timeline for the coordination with
the AD and other Halls:

April 10: One slide on anticipated weaknesses/ tight spots (Vardan and
Mac prepared slides that I will try to merge into one)

April 23: Initial talk outline, i.e. what we plan to present in each slide

May 14: 1st dry run - nearly complete presentation

May 24: Final dry runs

June 7/8: Software review "Will we be ready on Day 1".
