One further consequence is that the CLAS Collaboration planned for November is now at significant risk. Please do not submit a visit registration or arrange your travel until we have clarity on the situation. If JLab furloughs then JLab staff would not be able to participate even in a remote meeting. This is a difficult time for our JLab colleagues and we appreciate that these issues have repercussions for the entire JLab community including our collaboration. I will keep you updated with developments. After giving full consideration to the situation and the options, we concluded that given the continued uncertainty surrounding the ability for JLab to host, the need to provide each of you clarity and certainty, and a wish to continue to showcase our work, the meeting will be transitioned to online only. Not meeting in person to discuss our work and business is of course very disappointing, but we hope to make the best of the remote meeting. To that end, the meeting dates will remain the same 18 - 21 November but the agenda will be focussed purely on our physics. Each day will be shorter in length and we will construct a schedule which will respect the timezones of the majority of our institutes. More details to follow as we reshape and plan the new agenda. If you wish to present an update of your analysis, you should reach out to your Working Group chair as soon as possible. Within those calls we continue to encourage early stage analyses by students and post-docs to request a presentation slot as well as analyses which are more mature. This was not the news I hoped to be delivering, but now at least with the certainty of this decision we can look forward to meeting and the presentations of the great physics outputs we produce. With the support of the Department of Energy, Jefferson Lab expects to extend full operations through mid-November. The specific date will be communicated once it is determined. We continue to evaluate funding options to extend operations for as long as possible for as many people as possible. Tomorrow (Wednesday, Oct. 22) will be designated as a paid holiday. Normal operations will resume Thursday, Oct. 23, and staff should report to work as scheduled. A more comprehensive set of FAQs will be shared as soon as possible. For now, here is some important information we can share: * Medical Benefits: Premiums are fully covered through Nov. 30, 2025. For December, Anthem and Optima provide a 31-day grace period to maintain coverage if full premiums cannot be collected. We are currently exploring options to meet financial obligations to extend coverage through January. * Voluntary Vacation Use: To help delay a labwide furlough for as long as possible, we are requesting that those with 200 or more hours of vacation consider using vacation by Nov. 7. * Furlough Vacation Use: We are still exploring the legal requirements and if the use of vacation hours during a furlough is allowable. * Media Engagement: If approached by the media, do not engage and refer to them to communications at jlabinfo at jlab.org. * Holiday Work: If the lab is closed for a holiday, staff and users are not to work unless otherwise approved by their division leader. This means they are not to come on-site or work from home.? Additionally, we continue to maintain our cost-saving measures (including limiting travel, procurements, hiring, etc.) to preserve resources and sustain operations. We sincerely thank you, our staff, as well as the DOE for its vital partnership and support during this time. We understand the stress this uncertainty may cause and continue to prioritize safety, your well-being and mission delivery. Thank you for your patience as we navigate this time together. You will all hopefully have seen the news today that JLab is expecting to continue to operate through mid-November. This is very welcome good news for all collaborators, lab staff in particular. We do however still need to be mindful regarding possible future shutdowns beyond this mid-November timeframe. With that in mind let me reconfirm that due to the remaining uncertainty and the need for clarity, as previously stated, the November CLAS meeting (18 - 21) remains online only with a purely physics focus (caveat being that flexibility will be preserved, particularly on the Friday, should we be in a position to have a couple of business presentations). It would also be prudent to ensure that we have appropriate communication channels available should the need arise to use them. Email Communications Given the current circumstances and in preparation for any potential loss of, or limited access, to JLab emails and mailing lists, could I please ask you to add your alternate email to the following spreadsheet. There are 5 tabs, CLAS collaboration as a back-up to clas_members, and one for each of the Working Groups to replace their respective mailing lists. Add as appropriate for your interests. Please note that when you enter your email address, other collaborators will be able to see it. I ask that everyone respects this and does not use the information to send unsolicited emails. These lists are intended for use only to communicate CLAS and WG business and threads will be initiated by the relevant CCC member if required. This spreadsheet is password protected, the usual CLAS password with the addition of ?_backup?, and is served via the Glasgow University Sharepoint which is fully compliant with data protection legislation. https://gla-my.sharepoint.com/:x:/g/personal/bryan_mckinnon_glasgow_ac_uk/EdCCADmn8A1KmJBO6BCl_YoBYeo-sjl8mhoJgY6cCZ8x-w?e=NGMKFZ https://gla-my.sharepoint.com/:x:/g/personal/bryan_mckinnon_glasgow_ac_uk/EdCCADmn8A1KmJBO6BCl_YoBYeo-sjl8mhoJgY6cCZ8x-w?e=NGMKFZ? A reminder that you should add your personal emails via the link provided below.? ? Thanks in advance Bryan ? On 22 Oct 2025, at 19:14, Bryan McKinnon via Hallb wrote: Dear all ? There is a lot of information contained in this email so please read and take the recommended actions. ? You will all hopefully have seen the news today that JLab is expecting to continue to operate through mid-November. This is very welcome good news for all collaborators, lab staff in particular. ? We do however still need to be mindful regarding possible future shutdowns beyond this mid-November timeframe.? With that in mind let me reconfirm that due to the remaining uncertainty and the need for clarity, as previously stated, the November CLAS meeting (18 - 21) remains online only with a purely physics focus (caveat being that flexibility will be preserved, particularly on the Friday, should we be in a position to have a couple of business presentations). ? It would also be prudent to ensure that we have appropriate communication channels available should the need arise to use them. ? Email Communications ? Given the current circumstances and in preparation for any potential loss of, or limited access, to JLab emails and mailing lists, could I please ask you to add your alternate email to the following spreadsheet. There are 5 tabs, CLAS collaboration as a back-up to clas_members, and one for each of the Working Groups to replace their respective mailing lists. Add as appropriate for your interests.? ? Please note that when you enter your email address, other collaborators will be able to see it. I ask that everyone respects this and does not use the information to send unsolicited emails. These lists are intended for use?only?to communicate CLAS and WG business and threads will be initiated by the relevant CCC member if required. ? This spreadsheet is password protected, the usual CLAS password with the addition of ?_backup?, and is served via the Glasgow University Sharepoint which is fully compliant with data protection legislation.? ? ? ? ? Sharing Link Validation gla-my.sharepoint.com ? ? CLAS Collaboration Meeting Zoom Link ? Again being unable to guarantee the availability of JLab hosted Zoom, the CLAS Collaboration Meeting will be broadcast using my UofG Zoom coordinates. Please use this link since the password is embedded within. ? ? ? Join our Cloud HD Video Meeting uofglasgow.zoom.us ? ? CLAS Collaboration Meeting Agenda ? In order to provide a backup should JLab hosted Indico become unavailable, a plain text version of the meeting agenda will be provide via the same Sharepoint as above. Stay tuned for this as the agenda takes shape. ? ? Slack Channel ? As an additional means to communicate, I have set-up a new CLAS Collaboration Slack Workspace. Any communications sent via the compiled alternate email address lists will also be posted here. ? ? Slack join.slack.com ? ? ? Of course like you I hope using these alternatives will not be necessary. In the event they are required, given all of the above, we will be in a position to continue clear communications amongst the collaboration and the information will reach you in a timely manner. If you have any issues then please do not hesitate to contact me. ? The final item: please reach out to us if you want to present your work either during a ?WG session? or ?plenary? session: personal analysis updates (mature or in their infancy), looks at newly processed data, Run Group updates covering multiple physics studies etc etc.? ?
