You will all hopefully have seen the news today that JLab is expecting to continue to operate through mid-November. This is very welcome good news for all collaborators, lab staff in particular.
We do however still need to be mindful regarding possible future shutdowns beyond this mid-November timeframe.
With that in mind let me reconfirm that due to the remaining uncertainty and the need for clarity, as previously stated, the November CLAS meeting (18 - 21) remains online only with a purely physics focus (caveat being that flexibility will be preserved, particularly on the Friday, should we be in a position to have a couple of business presentations).
It would also be prudent to ensure that we have appropriate communication channels available should the need arise to use them.
Email Communications
Given the current circumstances and in preparation for any potential loss of, or limited access, to JLab emails and mailing lists, could I please ask you to add your alternate email to the following spreadsheet. There are 5 tabs, CLAS collaboration as a back-up to clas_members, and one for each of the Working Groups to replace their respective mailing lists. Add as appropriate for your interests.
Please note that when you enter your email address, other collaborators will be able to see it. I ask that everyone respects this and does not use the information to send unsolicited emails. These lists are intended for use only to communicate CLAS and WG business and threads will be initiated by the relevant CCC member if required.
This spreadsheet is password protected, the usual CLAS password with the addition of “_backup”, and is served via the Glasgow University Sharepoint which is fully compliant with data protection legislation.

CLAS Collaboration Meeting Agenda
In order to provide a backup should JLab hosted Indico become unavailable, a plain text version of the meeting agenda will be provide via the same Sharepoint as above. Stay tuned for this as the agenda takes shape.
Slack Channel
As an additional means to communicate, I have set-up a new CLAS Collaboration Slack Workspace. Any communications sent via the compiled alternate email address lists will also be posted here.

Of course like you I hope using these alternatives will not be necessary. In the event they are required, given all of the above, we will be in a position to continue clear communications amongst the collaboration and the information will reach you in a timely manner. If you have any issues then please do not hesitate to contact me.
The final item: please reach out to us if you want to present your work either during a “WG session” or “plenary” session: personal analysis updates (mature or in their infancy), looks at newly processed data, Run Group updates covering multiple physics studies etc etc.
