the protocol to request support is to post the request on the dsg-rtpc mailing list.
over the years, we have found this protocol to very efficient.
this method is very helpful in clarifying the work division between hall b engineering, dsg, and rtpc.
further, this protocol has been mentioned to the RTPC group before.
as mark twain put it "if this has been said once this has been said a thousand times"

it should be trivially obvious to the learned collaborators that the the fast electronics group and the DSG, being different groups, having different charters, different work loads , different levels of staffing , different deadlines for projects, would have different request protocols.

as physicists, who are able to distinguish the difference between the proca equation and the klein-gordon equation, i'm astonished, perhaps appalled would be the better word, that there is a insinuation that the dsg 's protocol be similar to that of a different group's.

Dear Patrizia,

of course I agree with you - we should all strive to communicate in the spirit of understanding and helpfulness, and not create extra stress. I didn’t intend my message (quoted by you) to be impolite or aggressive - I only boldfaced it to make it stand out from the rest of the (as you say) long email exchange. I am sorry if anyone felt it was inappropriate.

As you can imagine, we are under a lot of stress, trying to swap out the RTPC in record time under very trying circumstances (so far we are succeeding on schedule!). I think it is understandable that some of us may not always realize how to follow proper channels to request work or that we may not have had time to plan ahead and properly schedule all the work we might need from support groups at JLab during this emergency.

In the end, we did the RTD cabling ourselves - hopefully it will work. It would have been nice if, under the very taxing circumstances, proper protocol could have been put aside and someone could have cone in to help us. As an example, I want to praise the electronics group (Chris Cuevas, Mark Taylor, Armen Stepanyan), who gave us their private phone numbers for a phone tree, and in particular Ben Raydo who rushed in to lend us a crucial piece of equipment (fiber optics cables) on Tuesday night when we realized that the cables we had may have been inadequate.

Best greetings, and stay safe and sound! - Sebastian

Hi Sebastian,

I am sending you this note as a follow up of the many e-mails you have exchanged yesterday with the DSG in particular with Brian Eng, with the intention to improve the efficiency of the work, to avoid stressful situations and, at the end to create a better working environment.
After your e-mail with your urgent request (in bold):

"Our highest priority right now is to cable up the RTDs in the new RTPC3 - see Jiwan’s email below. We MUST have this done before we start recabling the RTPC, so this is now on our critical path to get ready for beam on schedule. Please identify a person that can come in NOW to do this. “

I contacted both Brian and Amrit to understand why we ended up in such a critical situation. As you know the DSG reports directly to me.
What I knew from Brian was that, regarding the RTDs: Jiwan mentioned to Brian about needing RTDs only on Monday morning (i.e the day before). As per usual Brian told him to send an email with the request, of which he only sent one to Marc and Brian instead of the mailing list and in addition he sent the request only yesterday morning
With the legitimate issues that arise from this unique working situation this is one that could have been avoided if the DSG knew about the work sooner.

As usual the DSG will do all that they can, as facts demonstrated, but it would be better for everybody if a better communication and planning is used to avoid some avoidable stress and to have the science get done with the best results.

I hope that you understand the spirit of my e-mail and you take it as a constructive suggestion to work better together.

Cheers
patrizia
