Dear EIC Project Team:

We are a one week away from the upcoming virtual DOE/SC Focused Status Review scheduled on August 5-7, 2025. Thank you for your contributions towards preparing documentation and presentations! All EIC team members are welcome to join the review virtually via the zoom link in the Outlook invite. If you did not receive the Outlook and would like to attend, please contact Caitlin Hoffman.  A limited group of speakers and contributors will join from the Bldg 1005S 3rd Floor Seminar Room to ensure optimal sound quality for the committee on zoom. If you are a part of this group, you were already contacted separately from this email. Other important logistical and schedule information is provided below.

Schedule Highlights

  *   Tuesday, August 5th
     *   Plenary Session starts at 10:45 am ET
     *   Hosted Lunch for those required in-person
     *   No organized review dinner. Homework questions from the Review Committee will be sent out by the Project Director to Session POCs with assignments. The slides will be draft on the prep area of the SharePoint site.

  *   Wednesday, August 6th
     *   Tentative EIC Team run-through of Response to Questions at 9:00-10:00am ET
     *   Response to Questions Session to start at 10:30 10:00am ET
     *   Hosted Lunch for those in-person

  *   Thursday, August 7th
     *   Lunch on your own
     *   Closeout at 12:00 pm ET
     *   Review Debrief for EIC Team at 2:00 pm ET in Bldg 1005S Seminar Room & Zoom

General Reminders

  *   Please review the final agenda (attached and posted) to familiarize yourselves with the schedule.
  *   Arrive early each day to allow sufficient time to get situated and seated.

  *   Please don’t ask questions yourself.  Save those for later. If you are called upon to respond to a question or emailed a question and you don’t know the answer, seek help from the rest of us.

  *   An IT tech (Chris Snyder) has been assigned. Presentations will be preloaded on a presentation laptop. If there are technical issues, stay calm, someone is there to help 😊
  *   It is important we keep talks running on time. POCs, please be mindful of helping sessions to remain on schedule.
  *   Please check your email regularly. There are often last-minute schedule changes or questions from the reviewers that will need to be communicated electronically. Please copy and/or direct any requests for documentation to Caitlin Hoffman for posting and tracking.

Dress Code

  *   Business attire is the requested dress.  Traditional business attire may consist of a suit, tie, slacks, jacket, business shirt or dress, skirt and/or blouse, and dressier shoes.

Meals

  *   Coffee, water, and refreshments will be provided on Day 1 and Day 2 for the EIC in-person Contributors and Speakers
  *   Day 1 & Day 2 lunches will be hosted for the EIC in-person Contributors and Speakers
  *   No lunch will be provided for the EIC in-person Contributors & Speakers on Day 3.
