All,

As part of the process to make the 12 GeV CEBAF accelerator ready for operations, a team of Geographic Integrators will be formed, whose jobs it will be to stay abreast of and drive all coordination activities between systems within a geographic area of the accelerator. This organization roughly parallels a similar effort used when bringing the original 4 GeV CEBAF accelerator on line in the 90's. This team will be led by the Accelerator Operability Manager-Steve Suhring. The accelerator has been broken into the following geographic areas, each representing a different but inter-related portion of the machine where systems must be integrated to assure proper functionality: (1) Injector, (2) Transport (beam transport mainly entailing the spreaders, recombiners and recirculation arcs), (3) Linac(s), (4) Hall A, (5) Hall B, (6) Hall C and (7) Hall D. Also included on the team is the Program Deputy which rotates every two weeks. The role of the integrator is a new position with the following roles and responsibilities:

Track progress of the specific area leading up to and through the hot checkout process. Identify and communicate potential problems affecting performance or schedule.

Be aware of and coordinate all inter-system activities within the geographic area. Attention must be given to specific systems, including - but not limited to - software, cryogenics, power, LCW, diagnostics, and other systems required to transport beam properly through the geographic area.

Facilitate the resolution of issues that will prevent successful execution of the upcoming operations program. Identify potential problems, communicate resource needs to supervisors and management, and coordinate efforts to implement solutions.

Communicate progress and status through the Operability Manager.

During the final phases of each shutdown and during Hot Checkout, provide a brief written status update for the geographic area to the Operability Manger, who will present the information at the Weekly Accelerator Summary Meeting (1:30 Wednesday meeting).

Attend the 08:00 Daily Summary Meeting during machine operations and hot checkout and coordinate the diagnosis and repair of problems identified in the geographic area.

Lead focus meetings as requested by the Program Deputy.

Attend the weekly B-Team Meeting as requested and report any limitations within the geographic area that will affect the plans being discussed. Facilitate any new B-Team initiatives in the geographic area.

It is envisioned that the group will self-organize under the direction of Steve Suhring. In this initial phase we have decided to forgo assigning integrators to Halls B & C since those lines will not see beam until at least 2015. Each geographic area will have an Operator assigned as a primary Operation's contact/resource for the integrator. In addition, each integrator will be assigned a deputy. The deputy is an integrator "in training". It is expected that the deputy upon request from the integrator will attend the same meetings so they can effectively serve as a backup and be intimately familiar with the processes developed during this effort. The eventual integrators for Halls B & C have been assigned as deputies for Halls A and Hall D. Additionally, it is anticipated that the initial integrator will serve about a 6-12 month term turning over their primary duties to the deputy at that point and a new deputy will be appointed. This cycle will continue for approximately two years or until a geographic integrator is no longer necessary.

The integrators & deputies were chosen through numerous discussions with the Engineering and Accelerator management teams considering background/knowledge base and availability/current workload. They are listed below:

We expect the integrators to spend up to 40% of their time on these duties with the major portion coming in the initial effort to prepare for Hot Checkout and early beam operations. While each of these individuals is an expert in their areas, their new duties will require them to explore and understand systems new to them. We (Arne and I) ask you to cooperate fully with their requests for information and in some cases requests to schedule and perform work. Please educate them where necessary and support them at all times.

The next two years will be exciting but challenging times with the startup of 12 GeV operations and resumption of "production beam" to four experimental halls. Thank you in advance for your support and dedication in realizing these challenging goals.
