Many months ago I asked Ron Lauze to survey our needs, take the requests and massage them into something that is better than what we had but probably not all you requested. We have since been working with Facilities to fulfill that plan. We have finally gotten extra carts, GEMs and another GSA vehicle where we are very close to the planned number. (2 Golf Carts are still missing). As part of the general vehicle plan we are assigning specific carts to each group for that group to manage in an optimal fashion. There will be very few general use carts left. The key watcher has been reprogrammed so that the golf carts and GEMS assigned to each group will only be accessible by that group. The group lead will have their group's carts assigned to them in the property system and will be responsible for their management including keys. For that reason the group lead can either use the key watcher to manage keys or can do it personally by assigning keys as they see fit, however all Golf Carts and GEMs will have slots in the key box.

Attached find a spreadsheet with the new cart assignments by group and cart numbers. The two missing carts will go to the Cryo Fab Group and the Metrology Group. I expect that there may be some tweeking necessary to be sure specialized carts get to the right place (covered cart used by RF, 4-passenger cart to Cryo, etc.). If that is needed then let me, Andrew Kimber or Tim Michalski know and we will do what we can to make things better.

Unfortunately, the reassignment of key watcher "authorities" happened last night with very little coordination so we have had some confusion about who can have what etc. that caused problems. Sorry about that, we should have done better. To fix it I want to have a key roundup. So everyone who has any cart/GEM key that belongs to the TED building (Cryo Bldg 89 carts are NOT included) needs to do the following:

1. By tomorrow night (Friday) at 4PM return all keys to the key watcher if they have a slot (both assigned carts and general use carts)

2. All keys that don't have a slot, place on Andrew Kimber's desk in Rm 2509 in the TED Bldg (GSA vehicles are not included)

Andrew and I will be sure that all keys that have a slot are replaced in the key watcher, with the new permissions programmed in and those that do not have a slot will be placed on the group leaders desk by 6PM on Friday.

The key watcher box will eventually be expanded so that all keys can be accommodated. We'll let you know when that is being done.

Finally, as part of this deal, you may have noticed the signage in the TED "courtyard" parking has changed. There are a few more changes with parking around the TED and Testlab that must take place. I will send another e-mail about that. However, when those changes are made we will begin enforcing the parking rules behind the TED. So please anticipate this and start changing your working habits to accommodate the posted parking limits.

Thanks for the help and I hope we will have made things a bit better for getting your work done. I'm also not naive enough to believe this will solve all the problems with transportation and parking so please let me know where we need to continue to improve things. There are of course limits to what we can do but our goal is to make you as efficient at your job as possible.

Will
