[Hps] Short summary of the collaboration meeting

Dear all,

We just completed a 3-half day collaboration meeting. Thank you to everyone for participation, and a special thanks to those who prepared and made a presentation. We had, on average more than 25 participants a day. Below is a summary of the meeting.

A large part of the meeting was devoted to the discussions on the preparations for the upcoming run. HPS is scheduled to receive the beam on August 23 and will be on the floor for 57 days. We made significant progress in the hardware and software/trigger developments. The SVT maintenance and repair work is in full swing at SLAC. The production and testing of modules started. Two FEDs are fully assembled and undergoing tests. The assembly of the rest of the FEBs will be done upon completion of these tests and will be ready by mid-July.  SVT DAQ/slow controls update work started. The replacement of the damaged modules, re-assembly of the tracker, and testing of the whole system will start in mid-July at JLAB. The repairs to ECal and the hodoscope are complete. These detectors are undergoing cosmic tests. In the hall, testing of magnets and beamline devices started. There are no show-stoppers, but much work still has to be done.
Concerning the run, we also discussed the assignment of shifts. The collaboration endorsed the remote worker shift taking. Soon we will have the shift schedule ready, expert shifts for those who can travel to JLAB, and the remote worker shifts for the rest of the collaborators.

Part of the meeting went on discussions of the calibration status and the readiness of the software for processing 2019 data. Calibration of the ECal and hodoscope are ready for first-pass processing. Substantial progress has been made in the alignment of the SVT and on the track reconstruction software. The plan is to start the processing of 10% of the data in the fall. Some preliminary analysis of data has been discussed as well.

We also heard an update on the 2016 data analysis. The analysis of the full data set for L1L1 and L2L1 is complete, the final results have been shown. The analysis note is getting updated and will be sent to the review committee for approval.
