[Pansophy] Fw: SN for C75 End Groups shipped to RI ?

Hello Mike & all -
The recent problem with C75-RI-011 is highlighting that we will need in future to have better records for end groups that are being shipped to RI, where we know they will be coming back in cavities that are going into CEBAF- There is an accelerator full of Cryomomdules where end groups are going to get shipped to RI in future , so the problem will only get worse unless we put in place a better system for traceability
We had attempted to collect the Cavity & End Group SN in the incoming inspection traveler - however as we saw for C75-RI-011 the SN one of the end groups had an illegible SN - so it seems we need to catch the SN for the end group much earlier in the process . For C75-RI-011 , we may have got lucky, Aaron was able to search photos to show that the end group used had some unique features (thin flanges and a unique welded feature ), so we are fairly sure which one was used , however next time we might not be so lucky.
As an example for where SN could be captured earlier in the process, For C75-03 it looks like Gigi provided in an email to Mike the list of Serial numbers for shipping the end groups to RI however it seems nothing went into Pansophy or the shipping documents, ( do we know what was done for C75-01 and C75-02 ?)
Some suggestions for what we could consider for future that would improve our traceability
* Create an inventory traveler for the end groups (the end groups did pass through Inventory in the process of being prepared for shipping) and up load the end group SN when the parts are being shipped by Inventory - this would have the advantage then the SN are already available in Pansophy when the cavities come back from RI.
* Or , so there is a searchable record in the JLAB system, list in the shipping document the list of Serial numbers for what was sent to RI , this would not connect to Pansophy - but at least there would be a record for what was sent
* Or Other ideas ?
Another idea , I have also asked Gigi if it would be possible in future to have RI include in the return shipping documents the Cavity ID with the corresponding end group ID numbers - then all three could go into the inventory receiving traveler so there is a record for which end group has been returned and on which cavity at the time they are received - however I still feel we need a record for what RI was actually shipped
These are just a few ideas that could improve our traceability , as mentioned already there are many more C75 cryomodules to be built , and it will only become more difficult as time goes on to keep track of the end groups (and new Cavity SNs) unless we improve the system for managing the Serial Numbers of C75
Special thanks also to Megan - who Friday provided a new canned report, to show end groups used so far - we will still need to figure out still the SN that were not legible and enter this to Pansophy before we have the full picture in this report
next week once RI has responded to Gigi to let us know what information they have available , we will call a meeting and we can brainstorm together the best path forward. We also will need to confirm what is in C75-02 (perhaps also C75-01)
Best wishes Anne

Hi Anne,
Not in this case. We never had the end groups in inventory (no part number for these). We only helped with the shipping form and delivering the parts to Shipping.
I was able to search my email and found where Gigi (see attachment) had sent the serial numbers of the end groups, along with shipping instructions.
Let me know if you have any other questions.

Hello Mike
Gigi tells me that recently 8 end old CEBAF groups were shipped out to RI for the next C75
Did you keep a record of the serial numbers for what was shipped to RI ?
Thanks Anne
