Naeem,

Would you please give me an example(s) of when we don't have a serial number or acronym on a component being shipped?
Also, when would "OTHER" be used for a project?

I don't mean to push back so much, but my understanding was this was supposed to be a simple form for internal use and not a replication of the JLAB Shipping forms.

I understand that this is to handle shipping across projects, but is there a need for all the changes and specialized coding without first testing the system and seeing what is needed?

Also, You and Jacob keep requesting that the Project and Org codes be removed, but this information was requested by the inventory group who handles most of the shipping. Please speak to Phil, Mike Dickey and Calvin about their needs. What information do they need to properly ship the components and keep PRIMeS in sync.

Hi Valerie,

It looks good, I have the following mods:

Section 2:
There needs to be an option for shipping items that do not have a serial number or an acronym. Something like the OTHER comment section from Section 1 would work, but I would prefer it to be a tabulated entry instead of just linear text (similar to the actual Shipping Authorization Form). It currently has no way to list items if the project is set to OTHER. This section also needs some instructions regarding how to get items on to the list e.g. "highlight serial numbers and press Update to add to list".

Section 4:
Remove Project and Org codes

Looks good. Here a few comments/suggestions for Naeem and/or Valerie.

Shipping Form Pull Down (This is for testing purposes only)

The format of the text is difficult to follow. Is there a way to reduce the text to be form number and maybe the project and then "OP" or "CL"? Or perhaps a separate page with a summary table and links to individual forms (similar to NCR OP/CL report)?

Project Pull Down (Done)

Can this be shortened to active/open projects?

Section 2. (Done)

It's hard to tell which component SNs have been selected. Is there a way to list the selected ones in a separate line or box (similar to how usernames work in Section 4)?

Section 4. (No)

Can the table of usernames also include a first or first/last name? I don't know usernames without some lookup in Outlook or Insight.

Last Buttons (Change to SUBMIT_TO_EMAIL)

Does "Submit to Inventory" mean the email notifications are sent? If so, it may not always be Inventory who are the first persons who do something, e.g. Cleanroom techs or others may do the preparation work before inventory techs do something. Maybe just "Submit Form" is sufficient?

I agree with Jacob's recommendations with the following changes/additions:

  *   "Project (other)" should come after the "Shipping Project" dropdown
  *   Shipping Project dropdown needs an "Other" option.
  *   Remove "Shipping Component"
  *   Remove "Component SN"
  *   Add table with column headers as shown in the attached document (Section 2). There should not be a limit to the number of rows, but can be 10 if a limit is required. Perhaps an "Add Line" button?
  *   Add comment box for "Item Preparation Instructions"
  *   Add comment box for "Shipping/packaging Instructions"
  *   Add comment box for "Other Instructions"
  *   Add comment box for "Recipient name and phone number"
  *   Remove Proj Code
  *   Remove Org Code

The word document attached has instructions in italics for all of the steps. These instructions should show up in the relevant area on the form.

When can we expect this to go online?

I am replying to items 10 & 11 below.

10.  I expect that "Project (other):" refers to the Pansophy project that the part is associated with.  The "Proj Code:" is the finance project (part of the POA), which almost never matches the Pansophy project.

11.  The "Org Code:" is likewise from the POA, and will vary based on the type of project, SRFOPS, SRFR&D, MLP, etc.

The Pansophy form looks quite a bit different than the word file (attached). When I use my email address in EMAIL ADDRESSES:, then select "Update", I get the error screen. When I select "Submit" only some changes are saved. A few quick comments....

  1.  Shipping Forms: Will you have an OP/CL indicator? I think a table, similar to NCR OP/CL with links to the form, will be easier to navigate than this pulldown.
  2.  Shipping Form Date: I don't know why this is selectable. Maybe just the date stamp of the first "submit"?
  3.  Shipping Requestor: I am not in the list. I don't know why this is selectable. Maybe just pull the username from login?
  4.  ShippingProject: Need space between words. Can the pulldown list be shortened to active projects? There is no "other" option.
  5.  Component SN: This is not a table of multiple rows unknown quantity, including Part/Drawing No. and Item Serial No. How to ship multiple items?
  6.  Attach Files: Multiple files?
  7.  JLab Shipping Authorization Number: Make the box the same width as other text boxes to see a pasted URL.
  8.  JLab Return to Vendor Form Number: Make the box the same width as other text boxes to see a pasted URL.
  9.  SRF NCR Seq Number: Make the box the same width as other text boxes to see a pasted URL.
  10. Proj Code: I think this was requested by Mike. Will it ever be different than Shipping Project?
  11. Org Code: I think this was requested by Mike. Will it ever be different than SRFOPS?
  12. Additional Notes Need colon to match others. Is this text box intended to cover Item Preparation Instructions, Shipping/packaging Instructions, and Other Instructions? Separate boxes are preferred, as they are likely directed at different people/workcenters.
  13. EMAIL ADDRESSES: Make lower case to match others. How to list multiple email addresses?
  14. Close Form, Close Date, Close Person?
