John,

Yes, we have let several travelers pass with bad links and procedures. However, with current audit findings and the approaching external audit, we will no longer be allowing this to continue. As Document Process Owner I must assure that all SRFOPS documents follow the approved procedures. I feel I have given sufficient time for all to understand our ISO requirements.
I am working with Ashley to get this QA Stop into place with all projects. Project Coordinators and WCD Authors will be informed of this decision.
We will help where we are able to ensure use of correct templates and expedite approvals. I would suggest reaching out to your direct reports and Peoject Coordinators for extra help.
I wanted to stop this propagation of bad quality standards but had to wait for approvals myself.
Thank you for your understanding and support for SRFOPS's ISO requirements.

Feel free to reach out to myself or Ashley if you have questions.

Valerie Bookwalter
Documents and Records Management Process Owner
SRFOPS Software Systems Group Lead

Trying to understand….So, If I did not put them into the Template they would have gone through? I ask because there are many out there.

Importance: High

Good Morning,

I was reviewing the L2HE-CMA-CM-ASSY2-R3 traveler for approval and noticed that several procedures linked were in the word doc format. On further inspection, I also found they were in the wrong template, had bad IDs (or none whatsoever), were in a subfolder of Traveler Included Files, and most importantly had not been approved. As a reminder, all Jefferson Lab procedures must follow the document management process. This includes being in the latest template and going through the approval process.

It is for these reasons that I terminated the routing for L2HE-CMA-CM-ASSY2-R3. The traveler approval process cannot proceed until the procedures are made ready for approval. I can route them at the same time as the traveler to speed things up, but the traveler will not be put into pansophy until the procedures are approved and their links updated. For ease of review, I have included the links to the procedures below. You can also find them in the Cold Mass Phase 2<https://jlabdoc.jlab.org/docushare/dsweb/View/Collection-54605> folder.

Thank you for your time,

Allen
