[Pansophy] DocuShare Area Generated for : PFES (Particle Free Engineering Specifications)

Tiffany,

Thank you so much for your questions!
The "template" directory structure was done with a "project" or "area" (like CHEM) in mind.
But I am also expecting the "owner" of a project/area to adapt or remove what is not needed.
I put everything in hopes of getting feedback and having a semi-generic directory structure.
The "01 - SRF Operations Work Control Documents" was initially setup for Master Procedures/Travelers and so Work Center Areas were added.
Jacob took over this area when he wrote the Doc Mgmt Procedure to include "Master" documents under his control. At that point, I didn't do much more to the area.
It is to include "any" Work Control Document that is utilized "across" SRF OPS.
Now, as things are changing, I am trying to determine what is the "best", or at least not cumbersome, way of setting up an area, knowing that not all areas will be the same.
The PROJECT Areas (and directory structure) may be changing as well.

So,
I have deleted Approved Travelers folder.
And you can utilize the Document Register as you need. The format is from Jacob.
The others can be deleted once you decide which works best for you.

Thanks!

Valerie

Thanks Valerie!

Here are my thoughts/questions on the folders and registers in the template as they pertain to the PFES effort. Please let me know your thoughts!

  * I like having one folder for the Approved WCDs so that the user can find all approved PFES documents in one folder, instead of needing to know in advance if the document they are looking for is a procedure, or reference, or form, etc.
  * I think we could delete the Approved Travelers folder for the PFES area because I don't think we will generate any travelers. Any travelers that may get standardized / created / revised due to this effort should probably live in the appropriate work center specific folder under the "01 - SRF Operations Work Control Documents". This also then leads to the PFES folder only having one subfolder labeled "Approved..." - hopefully streamlining people accessing where the PFES documents will live.
  * In the meeting, we discussed a "register" we created to list the procedures and references relevant to the "Cleaning Processes Specification" (CPS) document. In the meeting, we agreed to add the tabs in that "register" to the general "WCD Register" as additional tabs. However, looking at the items in the PFES folder, I think that those tabs may work well in the "Document Register" so that the WCD register can stay more like a normal project. What do you think? Does this just unnecessarily add an additional document to manage (WCD Register and Document Register)?
  * I can't think of a use for the Records Register for PFES yet - but I'm not sure about that. Maybe I need to review the definition of a record. I can see the PFES effort having a lot of references in the document register, but I'm not sure that the effort would create any "record". Or maybe the effort should create "records" and we need to specify when and why?
  * A thought that just occurred to me - does it create any conflict / issue for us to have the PFES folder in the "01 - SRF Operations Work Control Documents"? It appears that the subfolders currently in that folder are roughly related to the work centers and stations as listed in Kirk's Production ISO document. I think that the 01 folder is a good place for it and that is should be relatively easy for people to find there, but just wanting to check that we aren't creating a conflict somehow.

Tiffany/Ashley,

I have your "area" created. I have put in our "typical" or "template" versions of folders and registers.

This is new and I am looking for feedback as to how this setup works for your needs.

I put all 3 styles of Register Templates, but you are not required to use all and can duplicate registers

or add tabs for the additional information you require.
