[Pansophy] J27 SLAC Spreadsheet

All,
All of the requests to reopen NCRs have been handled. In the future, I think it would be better for us all to be proactive in reviewing documentation before the cryomodule is shipped out. We all know Tony’s phrase of “As the work flows, travelers close,” which we definitely want to uphold, however, we don’t want to slip on the accuracy and information provided in these travelers and NCRs. So as our documentation is closing, we should also be circling back to ensure that all data is accurate and correct so we are not scrambling post shipment to correct it all. The project execution procedure doesn’t explicitly state timelines for data deliverables and preshipment reviews but if we plan and do it in a more timely manner that then allows us to approach this matter respectfully to the time of others involved.
Records are supposed to be validated prior to being closed and locked. It is an additional burden to the software team to reopen and make these modifications to guarantee that our quality requirements are upheld, especially with light of the impending audit next month. I request in the future that we schedule a preshipment meeting at least a week or two in advance to help coordinate the retrieval and correction of the necessary data.
The assumptions made that the software team is readily available to drop our work to assist the correction of data immediately should not be one that we continue practicing. It is unfair to the other projects we assist with in SRF and our continuous upgrade work of our day to day job.
Thank you for your consideration and we look forward to working together in facilitating the next shipment!
Megan McDonald

To answer the question on NCR #475 below: No, that was indeed the final disposition. Mircea was right, the cables were disconnected, the observed non-conformity was resolved.

But I see your point, one might wonder if the Q-factors of the HOMs were in spec. That was confirmed in another test. I will add the corresponding traveler ID to the final disposition comment once Pansophy has it open again.

I can’t comment on 478 & 479.

Cheers,

John V

Peter/John,

Please look at NCRs #478 & 479. Was the corrective action taken in #479 also correcting the issue in #478? Was modification of the frame needed during installation?

Pansophy, please reopen NCR 475.

John V. please update the sign off of the NCR to reflect the results of the cavity retest.

All, this is the expectation for all NCR sign offs for proper documentation. State the results of the corrective action, not just suggest the corrective action.

Thank you,

Hi,

Please review NCR #475. Submit a service request in Pansophy if it needs to be changed.

The comment in the final disposition seems like it should be the initial disposition and then the retest should inform the final disposition to be conforming or use as is... is that correct?

Hi,

Please review this D3.

https://pansophy.jlab.org/pansophy/Travelers/TRAVELER_FORM.cfm?project=L2HE&area=L2HE&system=CMA&page=1&SNType=CMSN&maxpage=1&trav_id=L2HE-D3&trav_revision=R3&trav_seq_num=204&travstat=n&serialnum=J1.3-27&SN=J1.3-27

It needs an update on the results of the post testing leak check. If it was above spec, this should be turned into a NCR and the NCR number should be added to the D3 so we can trace the actions.

Thank you,

Hi,

Looking at the Pansophy data for the spreadsheet, some fields are missing, but the travelers are closed.

Both of these just say "Not Measured -PO" This is acceptance criteria, I need to have a reason why we didn't measure these. I don't see a NCR or D3 with more information.

Morning,

I didn’t realize this was shipping today, I don’t have my laptop with me. I’ll add the NCR and traveler data and then upload the files to SLAC on Monday afternoon. Please make sure the rest of the spreadsheet is ready to go and all relevant files are in the Docushare folder.

Mention any significant NCRs in the configuration tab and I’ll pull them for the NCR tab.

I won’t have much time on Monday since I’ll be traveling, so if I normally send you an email reminder for missing information, consider this it.

Have a good weekend,

-Ashley
