[Pansophy] ER5C-PR-CHEM-CAV-HPR-R2

No apologies necessary. It's an honest mistake that even seasoned writers do on occasion, and it was a lot less work to move over than others. Practically a copy and paste. I have to tap out early today, but I'll see if I can't get stuff rolling.

Okay great! I knew there would be a hold up due to the referencing document being a “still in transit” procedure, but my apologies on the other hiccups. Let me know if there is anything else you need from me!
Have a great day,
Paige Wesley

Paige,
I was reviewing this before sending out, and I unfortunately have to put a hold on it. The procedure looks good, although I did have to recreate it in the template (more on that later). The issue is that it references SRF-MSPR-CHEM-CAV-HPR, which has not gone out yet. It's in my to do queue (it's been a bit crazy here recently), but it may be a little bit.
As for the recreating, the procedure was fine except for one issue. When you removed the form approval section, you accidentally deleted the section break. We don't know why, but for some reason that usually removes the header and footer as well. This can normally be reverted with the undo button, but this was not an option with the version I grabbed from ready for approvals. I've fixed it on this one so you don't need to do anything with it, just keep an eye out for that in the future.
Lastly, I owe you an apology for confusing matters. I told you that this should be an R1, not realizing an R1 already existed<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-291111/ER5C-PR-CHEM-CAV-HPR-R1.pdf>. Since one does, I turned this into an R2 again.
Other than that, you're doing a good job. Assuming no further issues, you should see this out for approval by the end of the week.

You've cleared up of my questions with haste over the past few days, thank you for that! I have uploaded the document to that folder. If you need anything further from me pertaining to this or anything else please don't hesitate to ask!

Paige,
You're partially correct. Yes please keep it as an R1. We only advance the revision number if the document has gone live (i.e. gone through approvals and been uploaded to pansophy or a docushare approved folder).
Don't sweat the confusions, you're doing fine. If you'd like, we'd be happy to sit down with you at some point and go through any pansophy related questions you might have.

Ah that is my mistake, I'm so used to still calling the ER5C project C75. I see somebody had already uploaded one into the folder in June but I will still upload the one I edited. I have it named as R1 due to it being the first revision with the new template, is that accurate or should I re-name it to R2. Sorry for all the questions, this is my first time moving a procedure over to a new template and updating it.
Have a Great Day,
Paige Wesley

Ok I see the problem. You're trying to upload to a closed project, and I'm getting documents mixed up. You want the ER5C ready for approvals folder. Upload a new version over the one in there right now (3 dots on the right)
https://jlabdoc.jlab.org/docushare/dsweb/View/Collection-51713
Also it's a good thing you didn't use the link I just sent, that was the SRF approvals folder I move stuff to, not the ready for approvals folder people put stuff into for me.

Ah, no. I was trying to access .. https://jlabdoc.jlab.org/docushare/dsweb/View/Collection-49544 .. due to the procedure not being a "master" but a project specific. Do I need to upload into the folder you just linked below?

Looks good. I see that the unlinked MSPR is in the SRF Ready for Approvals folder. I'll route these side by side then. Thank you for your help. Please put this in the ER5C ready for approvals folder and I'll take it from there.

Hello again, I have completed and updated the procedure. There were things in there that were outdated so I updated a few areas and moved the whole thing over to the new template you have linked below. Let me know if there are any questions, I know the HPR master procedure we uploaded yesterday has yet to be approved but I left it in the references section for once it does. Before I submit it into docushare for approval I wanted you to look it over to verify its the correct template and set up, thanks!
Have a Great Day,

Allen, Hi! Happy Wednesday. Is the ER5C-PR-CHEM-CAV-HPR-R2 in the most updated procedure template? There are things in there that I need to edit and wanted to make sure I can just edit the one that is uploaded in docushare. If need be, I can move and edit it to the most up-to-date format, let me know, thanks 🙂
Have a Great Day,

I believe the one you just sent is for the old HPR, the one we no longer use, so I guess that means what we were originally discussing about (CP-STP-CAV-CHEM-HPR) is the only one. I'm in the process of putting into the new template form to be used as the 'master' with small revisions to the verbiage and hope to have it done by EOD tomorrow. Once that is done, do we need to wait until it is approved to update it in the ER5C-PR-CHEM-CAV-HPR-R2 procedure?

Paige,
Thank you for the clarification. To my knowledge there isn't a master procedure that covers the STP, but a quick check of the STP area revealed there actually is an R2 of the original STP<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-125424/CP-STP-CAV-CHEM-HPR-R2.pdf>. I would therefore recommend you use this one in your conversion.

I don't believe the procedure you have been emailing us about for the ER5C project will be a master procedure since it is project specific but the one we need to update (CP-STP-CAV-CHEM-HPRN-R1) as we talked about yesterday might if there is no other updated version in docushare or an already established one. When looking at the ER5C traveler on pansophy it hyperlinks to the STP so to my knowledge that is the best we have. Are you aware of a newer version?

Paige Wesley

Paige,
If the document isn't needed to complete the steps in the procedure, then it doesn't need to be referenced. If you say they aren't needed, then as an SME on this I trust your judgement. I just wanted to be on the same page with what was needed and what wasn't (pun semi-intended). With the LCLS II procedure, if it is needed we'll just need to convert it to an ER5C procedure, or even a master procedure.
As for the STP, the only difference from converting another procedure is that it's old. Move the information into the new template and make sure it's all up to date.
Lastly, will any of this be a master procedure? If they're procedures that would be applicable for multiple projects, not just ER5C, then it would behoove us to make them into MSPRs. Your thoughts?
Allen

We don't use the old HPR cabinet anymore so it's obsolete. River recently wrote a cavity specific HPR procedure for another project and when I asked him if he attached the cleanroom rules and regulations to it he said no. If needed, I can throw that one into the updated word document form attached below but will need to verify with Alex if there was a specific reason for it being in there. As for the LCLS II one, I need to re-read but I don't think I saw it directly referenced in the document? Plus, as you said, we're not supposed to reference other cavity specific procedures. I'm about to be off for the afternoon but I will touch base with Alex tomorrow and email you ASAP once I know the thought process behind leaving them in there during the last review.
With the STP, there a different process we need to take to make the STP to a Master procedure or just a different format?
Have a Great Day,
Paige Wesley

Paige,
That would be preferred. Since it's an STP, I would recommend we make this a master procedure rather than a project specific procedure.
If you don't mind my asking, what will happen to the other referenced documents? Are they superfluous to the needs of the procedure or something?

Hello, I looked over the documents you were inquiring about. The good news is I don't think there is much work to be done. River and I talked and we believe that the only linked document that we need to maintain in the file is the one labeled "New HPR Procedure". I looked in the SRF approved procedures folder for a master procedure for that and was able to find this one. Will this format need to be updated in order for it to be linked?

Paige,
Here are the links from the references area of the procedure. New HPR Procedure<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-111140/New%20High%20Pressure%20Rinse%20Operating%20Procedure_2015.pdf>, Original HPR Procedure<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-102167/High%20Pressure%20Rinse%20Operating%20Procedure%20and%20THA.pdf>, Cleanroom Rules and Restrictions<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-16699/Production%20Cleanroom%20General%20Rules%20and%20Restrictions.doc>, and LCLS<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-159119/CP-L2PRD-CAV-CHEM-HPR-R1.pdf>-<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-159119/CP-L2PRD-CAV-CHEM-HPR-R1.pdf>II Production Cavity HPR Procedure<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-159119/CP-L2PRD-CAV-CHEM-HPR-R1.pdf> (this one will also need to be renamed to ER5C-PR-CHEM-CAV-HPR-R1). If the new HPR procedure is an update to the original and contains everything that's needed, then the original might not need to be updated. That's an author and SME decision though, not mine.
For the procedures, you can use SRF-07-FM-005 SRF OPS Procedure Template, R1<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-296839/SRF-07-FM-005%20SRF%20OPS%20Procedure%20Template%20R1.docx>. If Cleanroom Rules and Restrictions is not a procedure, then SRF-07-FM-003 SRF OPS Word Document Template, R3<https://jlabdoc.jlab.org/docushare/dsweb/Get/Document-296868/SRF-07-FM-003%20SRF%20OPS%20Word%20Document%20Template%20R3.docx> might be a better option for it.
If you have any questions, please don't hesitate to ask. Thank you for your help in getting this processed.

Good morning Allen,
As of a few months ago, I was transferred to a different group as a cavity assembly tech. I have tried to stay up to date on the latest procedures for the chemistry group but I'm a bit out of the loop on this one since the HPR for these cavities has changed so much recently. I'm going to defer to River Fiedler or Paige Wesley for a more current step-by-step process for this. I'm happy to help in any way that I can, but they would be the best people to consult moving forward.
Thanks!
Alex

Alex,
I've reviewed your ER5C-PR-CHEM-CAV-HPR-R2 procedure. There were several things that I noticed that require me to send it back for review before I can route for approvals.
*
The procedure was in an old template. I have updated it to the latest template for you, please review to make sure everything went in correctly and in the right order.
*
Please check when making a procedure or new revision that you're using the latest template version. Me having to update for authors slows the entire process down.
*
The references will need to be updated. There are two HPR procedures that are old and not in any recognizable template. There's a word doc about Cleanroom Rules and Restrictions, and an HPR procedure for a different project
*
for that last one, we are no longer allowing references from other projects. The procedure will either need to be recreated for ER5C, or turned into a master procedure if it's needed for multiple projects.
If you have any questions, please don't hesitate to reach out to pansophy.
Allen
