SHMS-HMS User's Board has held frequent phone meetings to discuss SHMS development and progress as well as issues associated with the 12 GeV upgrade in Hall C.

Hall C Summer Workshop will be held August 19-20, 2011
------------------------------------------------------

The Hall C summer workshop will be held August 19 & 20, 2011 at JLAB.

Meeting topics include a an update on Hall C running and progress in preparations for 12 GeV era.

The main body of the meeting will be revolve around three physics sessions:

1) Hadrons in the Nuclear Medium

2) Polarized Structure Functions

3) The 3D Structure of Hadrons. 

The fourth session will address the SHMS Commissioning.

SHMS Project Update (provided by H Fenker)

Project Management
------------------

Walter Kellner has provided an updated installation schedule which respects constraints placed on how much removal of legacy equipment from Hall-C can be done in 2011.  This is being incorporated into the overall project plan. The detector installation period remains at six months duration, beginning in September, 2013.  The period following this, defined as "detector checkout", has been shortened to two months since most detector checkout with cosmics can occur during the installation period.  Beam for the most basic commissioning of the SHMS is scheduled for the week beginning September 26, 2014.

Magnets
-------

  Both HB dipole coils have been wound and cured. MSU is now working on mechanical design details, identifying sources for the type of stainless steel required, and subcontracting some of the engineering consultation, machining and welding. The Q1 vendor has overcome some financial difficulties and is now working at full speed again. It has wound, cured, and electrically tested the first coil (all successfully) and is proceeding on winding the remaining three coils. The copper extrusion needed to stabilize the superconductor for the Q2, Q3, and Dipole magnets has been extruded and has passed QA checks. The vendor for these three magnets will soon meet with JLab engineers to determine if any further preparation of the copper and superconducting cable is necessary. Procurement packages for the Q2, Q3, and Dipole steel yokes and supports have been prepared and await (hopefully early) funding.

Support Structure and Shield House
----------------------------------

 The 3D CAD model, which was completed some months ago, is being turned into shop drawings section-by-section. Procurement packages for these components are being placed and await funding. This work is roughly half done. Designs for most of the cryogenic distribution system has been completed and some of the parts are on order. The designers are currently re-evaluating the plans for access to the detectors and how to install them within the shield house. At issue is how to support the shielding on the beam-side of the shield house where it extends above the beamline.

SHMS Detectors Update
---------------------

Howard Fenker has collected input from all those responsible for the construction fo the SHMS Detectors and has created a status report that will be soon  shared with the 12 GeV management and posted to the Hall-C document database. 

In a word things are going well with no preceived problems with technical performance or schedule.

SHMS Software Working Group
---------------------------
Gabriel Niculescu is heading up the development of a C++/Root based analyzer. He is working with Simon Zhamkachyan to get a full version of the calorimeter software implemented in the HANA framework to serve as a test model for the
other detectors.  Volunteers are still needed.  Those who are interested in working on the 12 GeV software development should contact either Gabi (gabriel at jlab.org) or John Arrington (johna at anl.gov).

SHMS Commissioning Plan
-----------------------
On May 27, 2011 the Hall Users group mailing list was sent a letter by Hall C leader, Steve Wood, inviting representatives of any experiment that wished to be considered a commissioning or early experiment to make a short presentation at the Hall C Summer Workshop (see above) in which they would address the suitability and readiness of their experiments to run early in the 12 GeV era. In this letter it was pointed out that though scheduling was a lab management responsibility, it was hoped that "these presentations and discussions will ultimately lead to a consensus among Hall C users of the choice and ordering of the initial experiments."

Be sure to pass the word to all those involved in the already approved 12 GeV Hall C experiments and encourage them to contact Steve Wood by June 30.
