Summary of the Aug 24/09 SHMS+HMS User's Group Board Meeting Present: John Arrington, Howard Fenker, Tanja Horn, Garth Huber, Peter Monaghan, Ioana Niculescu, Charles Perdrisat, Steve Wood. We had a good discussion on steps to take to improve the SHMS user communications, and fill in gaps where people are needed, etc. EMAIL LIST: - Ioana will distribute a list of current subscribers to the mailing list. - Ioana will also update her list of potential SHMS+HMS user's based on the PAC proposals to date, and look at how to subscribe a group of people to the mailing list. WEBSITE: - John will update the SHMS systems contact list on the website. - Tanja will add/update shielding, optics, MC information on website. - Steve wants more official information moved to the hallcweb server. SOFTWARE: - John will contact people about potentially contributing to analysis software. - Steve is looking at DAQ. Should be straightforward, mostly a budget issue. COMMISSIONING PLAN: - This consists of both a Global Commissioning plan, including what are the "Commissioning Experiments", as well as detailed plans for Optics, Detectors, and other subsystems. - Steve and Howard will do an initial, impartial look at what are appropriate commissioning experiments. NEWSLETTER: - We will have a monthly newsletter to keep people informed of SHMS progress. - The first newsletter will be distributed to both the Hall C and SHMS lists. Following newsletters will only be sent to the SHMS list, so it is important to have people subscribed. - Steve offered to write the first one (since distributed), and we will take turns for the rest. - Peter offered to write the October newsletter. He will circulate a draft before the next board meeting for us to review and discuss. DETECTORS UPDATE: - Howard still waiting for final report from August review (since distributed). - Howard and Charles will look again at the detector stack space allocations. - Lehman review in September. Expected to be straightforward as far as SHMS detetors are concerned, due to positive August review. - Status meetings are typically planned 6 months apart. UPCOMING EVENTS: - Hall C workshop tentatively planned for Jan 22-23/10. - PAC week begins Jan 25/10. - Next detector working group meeting to be co-ordinated with these dates.
