[All_staff] Employment Verification Update -What You Need to Know

Colleagues,

On October 5, 2010 you received an email regarding JSA's DOE contractual 
requirement to verify employee identity and work authorization 
(E-Verify) and update necessary I-9 forms. During the past 2 months all 
current employee I-9 forms were audited and in order to be in compliance 
with new E-Verify and I-9 regulations, a number of you are required to 
complete new I-9 forms.

Employees who need to complete a new I-9 form will receive two emails 
from DONOTREPLY at PERFECTCOMPLIANCE.COM

not delete these messages; this is NOT spam email_./ The first email 
will contain a URL and instructions.The second email will contain a 
unique password to access the URL. Follow the instructions prompted and 
submit the on line I-9 form. Please disregard the information in the 
final step of the online submission; employees will /not/ be notified 
of  appointments to present original documents.However, in order to 
complete the process, identification and work authorization original 
documents must be presented to HR and validated.

Although JLab would normally never ask for social security numbers, in 
this unique circumstance employees will be required to enter social 
security numbers as well as other data to complete the online I-9 form. 
This process uses an encrypted connection, so your social security 
number is protected. To ensure a secure connection to the correct 
website, employees should verify in web browser that the log in URL 
matches the following: https://www.perfectcompliance.com/

For employee convenience, documents may be presented at the temporary 
document centers or at the VARC front desk. Additional details about 
temporary document center hours and locations around the site will be 
announced on Insight this week. If you have questions please contact Sue

*All I-9 forms must be completed and documents presented by January 27, 
2011*

*New Employment Verification Contract Requirement*

On June 20, 2010, JSA's contract with the U.S. Department of Energy was 
amended to require use of the Employment Verification or E-Verify 
System.E-Verify is an electronic database operated by the U.S. 
Department of Homeland Security to verify employee identity and work 
authorization.This contract change requires JSA to review the I-9 
employment eligibility forms of all employees hired after November 6, 
1986. Employees hired on or before November 6, 1986 are exempt from this 
government requirement. To minimize inconvenience to employees, HR will 
review documents previously provided by affected employees and compare 
them to the new requirements.

The I-9 is the form that all U.S. employers must complete and retain for 
each individual they hire in the United States. The form is required 
forcitizens and non-citizens. Employers are required to examine the 
employment eligibility and identity document(s) that employees present 
and determine whether the document(s) appear to be genuine and support 
the information provided on the I-9 form.

For most employees, previously supplied information and documents will 
meet the E-Verify system and government regulation requirements.However, 
the new government regulations, and/or the limitations of the E-Verify 
system, will require that JSA complete a newI-9 form for some 
employees.In these cases, the employee will receive an email from HR 
with instructions to provide new documentation and/or complete a new form.
