[Clas12nim] CLAS12 NIM Meeting Minutes

Folks,

Today at the CLAS12 NIM paper meeting we went through the updates of the 18 papers that will be part of the CLAS12
NIM special issue. The attached table shows the review timelines that were established with the lead authors. Please
account for these deadlines as you approach your work and do your best not to let them slip.

A few things that were discussed:

1) All leads should push what that have to the official clas12Nim GitHub repository by the end of the month. You don’t need
to wait until you have a final draft. If you need help with this contact me or Mauri.

2) When the text of your draft is reasonably complete, even if the figures are not final, please provide me with a draft of your
paper so that I can complete an initial review.

3) With the current calibrations based on release 6b.3.0, folks should have data shortly to make their final performance figures for
their papers. Any remaining work to improve on these results should be discussed in the text.

4) When the first review has been completed and figures have been created, I will meet with the leads and review the figures
for issues that will cause them to be rejected by the journal. This is what I have labeled in the table as “Fig. Review”.

5) Before the next CLAS12 NIM paper general meeting, I would like to have names of our final reviewers agreed upon. If you
have suggestions for a reviewer for your paper let me know. The only rule is that our final review reviewers cannot be done by
someone who is listed as an author on the paper.

6) The reconstruction paper is now being organized. The leads (Veronique and Raffaella) will work to arrange for the subsection
authors to commence their work very shortly.

7) NIM will open their submission interface for our papers in early November. The interface will close in mid-December. Once
closed, no further submissions will be accepted.

8) If you have any questions or need anything from me to help you, please let me know. If you need Cyril to prepare technical
figures, please do not wait any longer to contact him. I can help with this if you wish.
