Dear Members of the Hadron Spectroscopy Working Groups

In view of the next Collaboration Meeting, which will be held remotely
on November 18-21st 2025 and will mainly focus on the physics results
from the CLAS collaboration, I would kindly ask you to *submit your
request for a presentation* on:

- updates from CLAS12 analyses and others that are approaching maturity

by *November 7th 2025*

This will help us to consolidate the agenda.

Thank you for your attention and contribution

All the best

Annalisa

Oggetto: [clas_members] [EXTERNAL] Update regarding the CLAS November
meeting

Dear collaborators

Further to the email I sent on Wednesday regarding the risk to the
November CLAS meeting, the CCC met today to discuss.

After giving full consideration to the situation and the options, we
concluded that given the continued uncertainty surrounding the ability
for JLab to host, the need to provide each of you clarity and certainty,
and a wish to continue to showcase our work, the meeting will be
transitioned to *online only*.

Not meeting in person to discuss our work and business is of course very
disappointing, but we hope to make the best of the remote meeting. To
that end, the meeting dates will remain the same 18 - 21 November but
the agenda will be focussed purely on our physics. Each day will be
shorter in length and we will construct a schedule which will respect
the timezones of the majority of our institutes. More details to follow
as we reshape and plan the new agenda.

If you wish to present an update of your analysis, you should reach out
to your Working Group chair as soon as possible. Within those calls we
continue to encourage early stage analyses by students and post-docs to
request a presentation slot as well as analyses which are more mature.

This was not the news I hoped to be delivering, but now at least with
the certainty of this decision we can look forward to meeting and the
presentations of the great physics outputs we produce.

Regards
Bryan, on behalf of the CCC
