Dear all,
in the past the DIRC at EIC meetings at JLab have been extremely useful, I
think, and essential to making real progress and to writing the report.
I would like to propose that we start to plan the meeting for 2015 and
try to find a date soon that would work for us all.
In 2012 and 2014 the meeting took place in late March, in 2013 in early
April. In each case we met for 3-4 full days, typically Thursday through
Sunday, with the Monday as backup, giving us time to discuss the status
and plans for the next year and work on the annual report.
If we want to aim for a similar time frame this year we need to stay
away from a couple of scheduled events.
We have to travel to the PANDA Collaboration Meeting, March 16-20, and
the German Physical Society (DPG) meeting from March 23-27.
The Easter holiday is early this year, on the weekend of Apr 3-6.
The next major date after that is the US collaborators the April meeting
of the APS, April 11-14 - but I am not sure if you guys plan to attend
that one.
Another constraint is that we applied for the CERN test beam. We applied
for beam as early as possible after they switch to protons, that could
be mid-May. We asked for two weeks of beam, 4 weeks break to analyze the
data and make adjustments to the setup, and then another two weeks. We
may actually not get the early date, but we probably will not know that
until February or March. Therefore, we need to plan an early date for
the DIRC at EIC meeting and be back at GSI by the end of April.
My question now is when you would prefer to have the DIRC at EIC meeting.
Do you plan to attend the APS meeting or are those dates available?
If the APS dates are out, can we hold the meeting directly after the
APS, Apr 16-19 (20)?
Or is the week after better: Apr 23-26 (27)?
Or do we squeeze the meeting between the DPG and Easter or between
Easter and the APS?
And can we find a meeting room on our preferred dates?
Let's start the discussion. My preference would be for the option after
Easter, mid-April.
I set up a quick doodle poll for those dates (remember to click on "Show
all 17 options"), maybe you guys could fill in our yes/no/if-need-be
availabilities and we take it from there?
