EIC January 2023 Office of Project Assessment Status Review Speakers and Contributors:



It's time to get ready for the next Electron-Ion Collider (EIC) DOE Office of Project Assessment (OPA) Status Review which is planned for January 31- February 2, 2023 and will be held at Jefferson Lab. This is the first email of a weekly update series that I will send out to keep you informed on preparations and logistics. The Charge for the review has been finalized and is attached.



A SharePoint review prep site is being created to help us organize documentation and prepare for the review. We will be using this site to post the review background documents, the presentations and any other needed materials.



We will have 5 subcommittees:

  1.  SC-1 Accelerator
  2.  SC-2 Detector
  3.  SC-3 Infrastructure
  4.  SC-4 Cost/Schedule
  5.  SC-5 Project Management and ESH



We have an initial list of reviewers and expect OPA to confirm the reviewers list soon.



Attached is the  draft review agenda which is still being revised. The latest version is attached to this email.  Since this is a Status Review focused on our plans to be ready for CD-3A and CD-2, the agenda is organized around topics rather than in-depth coverage of all scope. As a reminder, the schedule for the CDs is as follows:



  *   CD-3A - Approval of Long Lead procurement. - Review in November 2023,  Approval in January 2024
  *   CD-2 - Approval of Performance Baseline - Review in October 2024,  Approval in January 2025
  *   CD-3 - Approval for Start of Construction/Execution - Review in January 2025, Approval in April 2025 - no change.



As noted, the January OPA Status Review will take place at Jefferson Lab in-person with limited remote connection available on an as needed basis. At a minimum, the presenters and the L2 Managers will attend.  The remainder of the attendees will be determined within the next week and you will be contacted in a separate email if you are needed to attend.



The overall review planning timetable is shown below:

  *   Dry Runs - Week of January 16
  *   Posting Deadline for Background Material - January 17
  *   Posting Deadline for Presentations - January 24
  *   Dress Rehearsals-January 23-24
  *   Review - January 31-February 2
