Dear all,
Please find below the link for the final agenda of the EIC-related generic R&D program review meeting. Our talk is scheduled on Tuesday 31st at 1:10 pm.
We have 30 min talk that is split as follow:
* 5 min to address the written questions from the review members
* 20 min (5+15) for the progress report (FY22) and the new proposal (FY23) in that order
* 5 min questions from the panel members.
For the progress report:
To summarize, we have 5 min for our progress report, so again, for the one involved in FY22 effort, please send no more than 2 slides summarizing the most important test beam results as well as a description of the tested prototypes ==> If I can have a first draft by Thursday this week that would be great.
For the FY23 proposal:
I think we need another meeting this week to decide how and what to put on the slides.
Best regards
Kondo

Dear (co)PI on an EIC-related generic R&D program proposal for 2023,
Please take a look at the timing of your talk in the draft schedule on Indico. https://indico.jlab.org/event/751/
There were some critical changes in next week's Monday morning schedule that shifted some talks around.
If there are no screams today, then tomorrow I'll label the schedule in Indico as "final" and distribute it to the larger EIC community.
sincerely,
Dave M

Dear (co)PI on an EIC-related generic R&D program proposal for 2023,
I have attached a preliminary agenda for the meeting so you know what day, and roughly what time, your presentation will be. This incorporates all constraints and speaker names that were communicated to me. You'll notice that continuation proposals indeed get 5 additional minutes.
The final agenda on Indico may take several days more. It will be sent to you as well as the EIC user community.
sincerely,
Dave M, Chair

Dear (co)PI on an EIC-related generic R&D program proposal for 2023,
Questions for presenters are attached. Proposal #1 is on page 1, and so on. (If needed, your FY23 proposal number can be found at https://www.jlab.org/research/eic_rd_prgm/receivedproposals .)
Talks last year were 25 minutes which worked extremely well for getting through the large number of new-to-the-committee proposals. I estimate I'll be able to give continuation proposals 5 additional minutes, but please give me several more days to build an agenda on Indico that fits.
For new proposals then, a 25 minute presentation should be organized along the following lines:
*5 min - address attached questions from your readers
(Some proposals seemingly received an hour's worth of "critical" written questions from the readers. Sigh. Present what you can in the first 5 minutes, then have the rest of your responses in your Backup slides.)
*15 min - general presentation to committee
(Presenters of new proposals will be cut off 20 minutes after the start. Finishing earlier than 20 minutes would allow a more relaxed question period.)
*5 min - open period of questioning from all committee members
Finally, can you please send me the name of your speaker? I appreciate this may have to change after the agenda comes out and thank you for your patience in advance.
sincerely,
Dave Mack, Chair

Subject: EIC-related generic R&D review committee presentation meeting will be held Oct 30-31
Dear (co)PI on an EIC-related generic R&D program proposal for 2023,
The review committee presentation meeting will be Oct 30-31 which is a Mon-Tue.
All 20 received proposals are invited/expected to make presentations. (See https://www.jlab.org/research/eic_rd_prgm/receivedproposals for the entire list.)
Like last year, we'll nominally run the meeting from 7am to 3pm here on the East Coast of the US. Your presentation will be remote.
Further details, questions from your assigned readers which must be addressed in the presentation, and a link to the Indico page will be available 2-4 weeks before the presentation meeting.
sincerely,
Dave Mack, Chair
