Minutes of Hall A Group Meeting October 1, 2013
1) Javier Gomez
a) Gives presentation on work planning and control in the
Physics Division

a) From the senior staff meeting:
i) The helium reserve law has passed
ii) PAC 41:
(1) has 4 new members
(2) Meets the week of July 28th
(3) May or may not be a regular PAC
iii) Budgets
(1) No traveling or purchasing this week (except for
mission critical or safety issues)
(2) Only scientists will travel on research funds
iv) Re the DNP meeting, DOE gave permission just before the
deadline, NSA still hasn?t
v) Data management plan is complete
vi) Software and computing review is scheduled for
Thanksgiving week
vii) New safety guided walkthroughs will be required for all
in the 12 GeV era. Plan to have some guided walkthroughs
during the Hall A collaboration meeting (get everyone in
one fell swoop)
viii) Blue Crab clean room disassembly will start up
again this Thursday (10/3)
b) Gmp collaboration meeting this Friday (10/4) at 15:00
c) Testlab: if you plan to use space in the testlab over the
next five years you need to specify your infrastructure
needs (more than just space), e.g. power, LCW, data needs
etc. Give the information to Thia
d) Spectrometer cooldown schedule: LN2 in November, Helium in
January.
e) The performance appraisal process has started
3) Robin Wines
a) 12 GeV:
i) last thing to do is the coating and installing of the
raster tubes (estimate 5 weeks to delivery)
ii) Compton is going together well. There?s a question
about detector motion.
iii) All parts for Gmp and DVCS are either in or on order
b) SBS:
i) Coil bids are due on October 14 (have at least 4
interested vendors)
ii) Steel modification drawings are in review
iii) Putting together a cost estimate for lifting hardware
iv) Working on support and assembly drawings
4) Jessie Butler
a) Expect Compton to be ?buttoned up? by the end of the week
b) Continuing cryo checkout
c) If you need anything moved to the Testlab, this week is a
good time to do it.
5) Bert Manzlak
a) 3 year electrical safety assessment was done last week.
Added the annual lockout tagout assessment to it.

6) Jian-Ping Chen says that the DOE site office laser safety visit
went well
7) Doug Higinbotham
a) Still collecting volunteers for the DNP tours
b) Re the OPS manual update, expect an e-mail detailing how to
make updates (need to re-edit and add checklists) All stored
