Minutes of Hall A Group Meeting: November 28, 2017

1. Thia Keppel
   a. 12/7 Physics Division party! 
   b. Performance appraisals….good job, better than other divisions at the moment
   c. Detector and Software EIC meeting at Temple this Thursday & Friday
   d. Power outage last Saturday…
     i. Large ripple on one of the 3 phases
     ii. Impressive recovery (especially post Thanksgiving)
     iii. May need to look more at power distribution (lesson learned)
   e. Training for travel to foreign countries….
     i. Policy came internally, may not ultimately need to follow – but likely will!
     ii. <35 days, need online course, ~$80.00
     iii. >35 days, need practical, hands on in Northern VA, ~$1800.00
     iv. May be only sensitive countries (South America, China) 
       1. Chile was one as a recent example
   f. DOE policy:
     i. MOU, CRADA, WFO, …..needed to work at a DOE lab – any foreign visitor
       1. One interpretation is to implement for anyone, but….
       2. Should not be for users doing research
       3. Can be foreign people from USA
       4. Actually previous administration enactment
       5. Causing us some confusion….let me know if experience issues
       6. Please plan travel well in advance
   g. Laboratory Agenda  for FY18 (follow-up from S&T Review)
     i. Milestones etc….for this year & near (3-5 years) and far future 
     ii. 173 total (may be *2 too high)
     iii. Physics, Accelerator, Technology, all
     iv. Need to indicate red, yellow, green – at end of year
     v. Be ready for emails
   h. Magnet Support Group Coming (within Physics)
     i. Will have a re-shuffle of personnel (3 from 12 GeV project & others from Halls, not from Hall A)
     ii. ~12/1 start
     iii. To be like Target, DAQ,…..groups
   i. White paper Draft  on ArXIV lattice QCD & phenomenology – message from Jianwei Qiu
   j. LCLS II test lab
     i. Must refurbish some cryo modules
     ii. Need space for an additional 2
     iii. BigBite moving to ESB (development & support) & TED high bay (detectors)
     iv. Should then still be enough room in test lab for other SBS work to continue
   k. D, B, C, A priority for beam start
     i. 5 pass first (D,B)

2. Robin Wines
   a. Working focused on PREX2/CREX, Polarized 3He Target

3. Jessie Butler
   a. Completing final checks on our vacuum and cryogenic systems
   b. Completed pump down and leak check of both HRS, entrance and exit beamline
   c. Checked insulating vacuum and operational readiness of the cryogenic system (all systems were operating 
      normal
   d. There was a problem with ESR that caused issues with the cryo system In Hall A
     i. All of our magnets were placed on warm return and were still in the process of recovering Monday 
        morning
   e. Monday, December 4th, Jessie and Heidi will be on Counting House at 3:30 to answer any questions

4. Dave Meekins
   a. Tritium being installed tomorrow, cooled down Monday morning 

5. Run Coordinator - Douglas Higinbotham 
   a. Hall will be locked up starting December 1st through December 18th in Controlled Access
   b. Beam to hall A ~ noon after target cool down on Monday
   c. Please read and sign the “yellow book” in the Counting House (COO, ESAD,….all there), must do before 
      sitting shift
