Minutes of Hall A Group Meeting: August 28, 2018

1. Thia Keppel
   a. Senior Staff Meeting
     i. Budget tight, looks good for ending the fiscal year
        1. Little things okay for capital, run needs
        2. Overall okay
     ii. Lab working on phased retirement program
        1. Description to come out ~ 9/4 week
     iii. Re-evaluation of job titles & descriptions may commence
     iv. Office 365 roll-out this year
        1. Will end Zimbra!
        2. Asking for “guinea pigs” over Christmas, might enable work if you want to try
        3. Should work with Mac, Linux,……
        4. Word, etc. also to change over
     v. CEBAF renovation got approved (7/18)
        1. Another wing to CEBAF center possibly (2?), “D” & “E”?
        2. ARC?
        3. 5 year plan
     vi. Nitrogen delivery issues last week
        1. Lab managed to get us to highest priority with vendor (truck filling issue as their pump broke)
        2. In parallel, developed contract with NASA (contingency if needed)
     vii. EIC
        1. Cost estimates from JLab BNL due last week
        2. Likely in preparation for CDØ
        3. 9/31 self-assigned deadline for JLab pCDR
        4. Joint accelerator R&D meeting ~10/29 – 11/1 at JLab
     viii. 11/27,28 Computing Review
        1. Need to plan agenda, mostly computing
        2. CLAS12 & SBS software also!
     ix. Center for Nuclear Femtography (state funded a bit now)
        1. 12/10,11 Symposium kick-off meeting at UVA
     x. Stuart planning SoLID & MOLLER Directors Reviews
        1. SoLID, cost and some technical follow up to DOE meeting
        2. MOLLER project – cost, and technical be ready if we get FY19 funds
        3. This year, before December likely
     xi. Safety, Security visit coming – 
        1. Make sure your training if hosting a foreign national
     xii. Accelerator
        1. RF power very limited, many trips (15/hour)
        2. Optics problems, many theories (obstruction north linac?)
        3. Hall C arc hardware questions
        4. Can’t match to Hall D either

2. Robin Wines
   a. SBS
     i. Completed tower extension revisions and put into procurement
     ii. Put field clamp stand-offs into procurement
     iii. Trying to revise vertical support and get into procurement by this Friday
     iv. Received request for GEM cosmic test gas system review
   b. APEX
     i. Corrector magnet parts arrived
     ii. Visiting septum support vendor on Wednesday to see parts (delivery promised end of this week)
   c. PREX
     i. Submitted vacuum chambers and beampipe to procurement
     ii. Plastic shielding out for bid
     iii. Concrete vendors visited to give estimate on beam dump shielding
     iv. Writing service work spec for concrete
     v. Continue on skyshine shielding and shielding support 
     vi. Ordered metal seal for dump o-ring replacement
     vii. Ordered feed-thrus for collimator/sieve

3. Jessie Butler
   a. Continued with leak checks
   b. Able to get the vacuum in the high 5 range (9.2 X 10-5) but think we should replace the seal between the 
             dipole and Q3 because it seems to be the reason we are unable to reach targeted vacuum of 5 X 10-5
   c. Will begin replacing seal on Monday (8/27)
   d. Continue troubleshooting helium liquid level issue in L-Dipole, currently the bottom probe is reading 
             100% and the top is 0 or a misread
   e. Currently going through the process of verifying the accuracy of both the probes, check probe & meter 
             wiring, manually check valve positions and network interface
     i. Discussed issues with Dave, Ruben, & Jack to see if they can offer insight on pinpointing the issue
   f. Received the Cherenkov extension box from the Machine Shop
   g. Took delivery of corrector magnet parts needed for APEX
   h. Moved Bertha from ESB to the TED high bay for the BitBite setup

4. Jack Segal
   a. Working on spectrometer rotation, suggest buy spare card(s)
   b. Working on trigger cable between spectrometers
   c. Painted extension box
   d. Assisting with magnet troubleshooting
