FYI , a number of work centers have in the past tended to “over use “ the comment section rather than update the travelers for changes such as the one below (drawing change due to Vendor feedback)

John Fischer told me yesterday he would also have just included a comment when there was a drawing change rather than go through the having to update the traveler – so it seems using comments to address change control had been a common approach in SRF in the past

However in future, with ISO, comments for change control changes like this won’t be sufficient any more – so as you can see below, our choices will be to either wait until the travelers can be updated – or do NCRs

Thanks to you and your team for getting the Bellows Travelers updated , this meant we were able to avoid having to do NCRs for the traveler being out of date

Happy to discuss if you like in our meeting this week

Best wishes Anne

Katherine, et. al.,

My thoughts…

1. My understanding is there is an immediate for one supply and one return bellows to move forward with the first string assembly. The rest of the supply/return bellows can wait for the next string assemblies, and inspection travelers can be updated without a rush.

2. Our travelers represent the project requirements, and when they are not met an NCR is the appropriate response. I don’t think a comment in the traveler is sufficient to explain why the requirement is not met.

So you have two parts in “inspector jail” because of a documentation problem. To get them out, I think there are two choices.

1. Wait a couple days for a new/reviewed/approved inspection traveler with the correct documents.

2. Initiate two NCRs for the 2 bellows you need now, and describe the incorrect documentation as justification for a ‘use-as-is’ disposition.

This meets the current and future intent of the NCR Program, and provides the right documentation to support the actions taken.

Jacob

Hi Anne and Jacob,

Just to clarify, the only change to the travelers is the deletion of one dimension. All the work that Earl and Aaron did is perfectly valid and should be documented in the travelers. I am fine with them continuing to use the existing travelers and skipping the one dimension. If you prefer them to use the travelers we currently have as-is, that’s fine, I’ll just respond to the NCR’s on that one dimension with “use as is.” I just suggested they skip that one dimension to save some effort. I don’t think there is any reason they need to wait for the new travelers to continue work, as nothing else on the travelers changed.

Thanks,

Katherine

Hello Jacob

Just wanted you to be aware of additional emails related to the SNSPPU Bellows NCRs and Travelers (see email chain below) .

In the ISO world this likely should be more than just a comment – however perhaps since we are not yet an ISO organization perhaps a comment would suffice - I will let you decide

The problem in this case, the travelers for the String Bellows should have been updated a long time ago due to feedback from the vendor to the SOTR (Tec Rep) . In the meantime, as we were unaware, unfortunately Aaron & Earl spent about 2 days collecting data & taking photos for the NCRs related to the earlier versions of the traveler/drawing for the supply/return bellows . Earl had sent Katherine a note as you saw yesterday to give her a “head up”, and she immediately responded, revised the travelers and put them into the approvals folder to be sent out However it still takes take time to get the travelers approved and available in Pansophy – hence the work around proposed by Katherine .

In the meantime, I proposed to Aaron & Earl we should give this a day or two before completing the traveler per Katherine’s proposal , to see what happens. There is always lots of other inspection work to do related to SNSPPU.

I should have copied you earlier on this email chain as you are the QA engineer for SNSPPU – my apologizes

Best wishes - Anne

Anne, we can use the existing travelers. Please just add a note that the width of the clamp ring is being disregarded. There are no other changes. Please do not delay any work for the new travelers.

Thanks,
Katherine

Anne,

The team is working as quickly as possible to get travelers and procedures converted as soon as reasonably possible.

I realize this affects your inspection team and we will do what we can.

We are advocating for 24-48 hour expectation in turn-around time. I hope this is satisfactory for you.

If this is holding up a project we will adjust our list.

Thank You.

Hi Pansophy Team

Katherine has made an update to both the supply and return bellow travelers for SNSPPU , and put them into the approvals folder

The reason is new drawings, and reduced requirements that should reduce the number of NCRs

Could you please check the approvals folder so these two can go into circulation for approval

Its not urgent – just would be nice to get the data uploaded for the first few bellows

Thanks Anne

Hi Katherine

Are you also revising the supply bellow traveler ?

Earl is out today – but would be nice to know so he does not start putting in data & creating NCRs

Thanks Anne

Hi Katherine,

Could you also revise supply bellows traveler please? It has same issue with heat ring width stating .500" for width and the part is actually roughly 1.00"

Thanks,

Aaron

Dear all,

Earl, thank you for the detailed inspection information, which was very helpful.

The vendor had a number of difficulties with these parts and requested to make some design changes. We have unfortunately not updated the JLab drawings in time to feed them back into the traveler, and I have to admit this slipped my mind when you all pulled the return warm-to-cold beampipes for inspection last week. Please see attached vendor drawings, showing what we have. The interface points should *not* change, so the dimensions on the inspection traveler are good (other than the width of the heat sink ring, which the vendor increased), but the part does look very different from the drawing.

I have revised the traveler to include the vendor drawings and uploaded to Pansophy. We can continue to use the current traveler as the dimensions on it are (except one) good until the revision moves through the system.

Sorry for the oversight.

Thanks,
Katherine

Just a heads up.

1) There is a potential fit up issue with the Return Bellows. Return Bellows Flange (104210300-A202) has the same features as the Supply Bellows Flange (104210300-A102). This results in a .899” boss with a diameter of 5.620”. This does not conform to the drawing and may interfere with build-up.

2) .06” X 45°= .810. This is the same feature as the Supply Bellows Flange.

This information is attached to NCR93 with photos. The drawings appear correct for the Return and Supply bellows. This seems like a vendor issue.

Please contact me if you have any questions.
