[Pansophy] SharePoint drive for Vendor Documentation? HE Cavities

Hi John

Thank you so much for doing this down load to the M Drive - this is the data that I understand everyone is looking for - not possible for most of us to get this data without all of the SLAC Permissions etc. Allen may be able to help in future now that he has permission

So - for the immediate question from Danny/Roland , everyone should be able to go to the M drive where you have up loaded all the data to get what they need for Cavities 16 & 17 - you might get a few questions (hope you don't mind)

 M:\LCLS2-HE\Cavities\frequency hold point data - vendor\<file://jlabsgrp/SGROUP/LCLS2-HE/Cavities/frequency%20hold%20point%20data%20-%20vendor/>

In answer to your other requests, I am going to let the Pansophy team answer so that I don't cause any confusion

Thanks again for taking care of the down load for this vendor data - much appreciated !

Best wishes - Anne

Hey Anne,

Many thanks for your – as usual – very helpful answer!

I’ve pulled the corresponding data files for the first eight cavities from the sharepoint and stored them here: M:\LCLS2-HE\Cavities\frequency hold point data - vendor\<file://JLABSGRP/SGROUP/LCLS2-HE/Cavities/frequency%20hold%20point%20data%20-%20vendor/>

I would appreciate if Allen could put those in the corresponding travelers as described below! (L2HE-TUNE-CAV-RFIN)

Both, Megan and Allen do have access to the sharepoint of SLAC now.

@Mike Dickey<mailto:mdickey at JLAB.ORG>: Would it be possible to add Allen and Megan to the PRIMeS notification every time you check in a new cavity?

It would be a great relief for me if we could find an arrangement similar to L2 where this happens sort of automatically in the background!

Many thanks,

John

Hello John –

In the past if certs and data come in with the parts then they are scanned and put into the inventory traveler by Mike Dickey

For cases where the data is sent electronically the SOTR took care of getting certs and data and getting this information into a folder that in run could be linked into the traveler –

as an example, Gigi has been getting the Certs from RI s for C75, and he has been putting them into a folder in Docushare , Gary also has been collecting data from his suppliers that I believe he also puts into a folder some of which are linked to the traveler

For L2, , we had made a special arrangement, (however it looks like HE may not be using the same set up) , where both RI and Zannon were given instruction to put their data into a specific location ion (and a specific table) , whereupon Megan had come up with a program to save the SOTR some time in the down loads

However in this case SLAC is now getting all data – likely in a different format , For Megan to have done the programming in advance she needed a file (only got a picture, not a file, so could not do much to get started )

Normally this would be getting the data is the responsibility of the SOTR . However as an interim until Megan comes back, Valerie has offered that as an interim Allen could pull data on your behalf (if he gets permission) .

Typically the data would go into a folder like the one below , but then Roland needs to be told where to find the information he needs (you might need to help)

M:\LCLS2-HE\Procurement\Vendor Documents

I hope this helps – once Megan is back (January ) and the travelers updated then likely the data can be pulled in

Anne

Hey Valerie,

Thanks for your reply! Is there anyone who can take over pulling that data and opening up the RFIN travelers? There should not be any coding required for that. We can ask James/Dan to give access to that person to the folder/RI files then.

(As a reminder, the first eight cavities are: HE-CAVR011, -12, -13, -16, -17, -18, -22, and -23)

We can postpone the “coding” as in maintaining our own repository of all files until Megan’s return.

Regards,

John V

John,

Unfortunately Megan is now on leave and will not be returning until the new year.

Who has access to the SLAC SharePoint Site? Who can down load the file(s) Roland needs? Currently, no one on the Pansophy Team has access.

The coding will have to wait for Megan’s return.

Dear Pansophy-team,

Cavities HE-CAVR013, -16, -17, and -18 have arrived. Mike has started with the inventory travelers. It would be very helpful if someone could pull the RF data as Roland is already working on the corresponding inspection travelers.

Many thanks in advance,

John V

Dear Megan,

Would you be able to pull the data mentioned below for HE-CAVR011, -12, -13, -16, -17, -18, -22, and -23?

These are the cavities currently being delivered to JLab. Maybe @Mike Dickey<mailto:mdickey at JLAB.ORG> can also generate the corresponding HE-CAV-numbers in the system so that the RF data can be provided to Roland for his later RF incoming inspection.

Many thanks in advance!

Same story this time, though the SharePoint is hosted by SLAC.

What we need are the mode frequencies of the final RF measurement, given in form Y_F03 in the hold point 3 data – see below – so that Roland can fill that into the spreadsheet of the L2HE-TUNE-CAV-RFIN traveler.

The files are supposed to appear hear:

Unfortunately, I don’t see any hold point 3 data on that drive yet. I’ll try to figure out when RI will upload. An alternative might be the paperwork coming with the cavities themselves.

Cheers,

John

For L2, I know cavity vendor data was uploaded to a OneDrive/SharePoint and Valerie pulled the data to the M:drive for me to process from there for the holdpoints. If the plan is still to pull the RF data into the system, that is the ideal way for us to get to the data.

Also, if this is still the plan, the sooner we have a draft of what the vendor data will come in looking like and what fields need to be pulled, the better. I will be going out on leave soon so if it is wanted before then, it will need to be real soon

We do have the folder on the M:-drive, a sharepoint might be better here. This seems for example also advisable for the material qualification data for the single cell tests which are only done at JLab. Ari’s personal archive for the work done in this regard so far proved a bit impractical.

However, as SLAC is the official customer for the cavities this time, I would like to minimize our efforts in general bookkeeping beyond the data we generate ourselves in tests etc..

We should have a central repository for all HE vendor data. Was all that data kept on a Sharepoint site for L2?

Thanks, John. Valerie, I assume that the other Tech Reps have made their own arrangements for data transfer.

The hold point data is directly transferred from the vendor to a SharePoint provided by SLAC.

We will only be pulling some RF measurement data for our RF in traveler. We will either pull that from the SLAC SharePoint or from the paperwork which comes with the cavities, whatever proves to be more practical.

John / Katherine,

How is vendor documentation currently being handle for the L2HE project?

Was a SharePoint drive setup? Is one needed?

Will this data be stored on the M:drive?
