Minutes of Hall A Group Meeting January 15, 2013
1)	Thia Keppel
a)	Report from senior staff meeting:
i)	Re new system replacing webstock, keep an eye out for 
companies that are missing. Send information to Rolf 
(ent at jlab.org)
(1)	Ole outlines a problem with changing prices in the 
system and the time lag between submission and final 
approval (by the time you get approval the price has 
changed and you have to start over)
ii)	SBS monthly report to go out to DOE today. This with a 
phone call will, we hope, constitute a quarterly report.
iii)	Performance appraisal process continues
iv)	CHL: corrosion in an LCW pipe underneath the CHL is 
causing a leak and must be repaired. This will likely 
cause some delays (shouldn?t directly affect Hall A)
v)	OSHSA surveillance audit last week went well
vi)	Safety Fair went well
vii)	NSAC sub-committee did not send in their report on the 
7th as scheduled
viii)	NSAC 10-year Facilities Plan meeting is in mid-
February
ix)	DOE budget briefing:
(1)	Offered the minimum viable number
(2)	The lab is pushing back
(3)	Research funding considering 2 scenarios, cost of 
living and flat.
(4)	Expect some small cuts in 2014 (no change in 
philosophy)
x)	Friday (1/11) there was a meeting to discuss the Directors 
ETC (Estimate to Complete) review for 12 GeV
(1)	Cost and schedule variances are large
(2)	12 GeV structural change,  Claus is out of the 
magnet business, Glenn has the magnets and Dave Mack is 
his helper, 2 new magnet engineers have been hired
xi)	Review for powering Hall D Solenoid went well. 
xii)	Counting House renovation: They have decided they need 
to do some welding under the roof. The second floor must 
be cleared of everything to reduce fire hazard. If you 
have anything there get it out.
xiii)	Chris Cuevas is hosting a visit from CAEN of some 
engineers to demonstrate new equipment , tomorrow (1/16) 
from 10 to noon
b)	GMp collaboration meeting tomorrow (1/16) at 14:00
c)	Get your list of publications and awards to Stephanie ASAP
2)	Robin Wines
a)	DVCS/GMp:
i)	Shielding drawings ongoing
ii)	Wire target is in Dave Meekins hands for review and 
possible revisions
b)	SBS:
i)	Working on magnet iron modifications and coil designs
ii)	Continuing with Cherenkov work
3)	Ed Folts
a)	Møller Quads are back on the beamline and aligned
b)	Entrance beam girder aligned
c)	Aligning beamline components
d)	Left collimator installed (other to go in tomorrow)
e)	DVCS stand modifications underway, almost done
f)	Working on new shield hut for the raster
g)	There is a leak in the Hall at the AC penetration in the 
roof. Pushing work requests for repair. Plant services came 
to have a look this morning.
4)	Bert Manzlak
a)	Re the OSHSA surveillance audit (OSAS), that refers to an 
international safety certification that happens every 6 
months
b)	Reiterate the need for documentation for all work/test 
setups. (Alist, OSP, TOSP, Laser Safety OSP, etc.) Contact 
Bert for assistance (Manzlak at jlab.org)
5)	Bogdan Wojtsekhowski gives presentation about Septa for the HRS
