Electron-Ion Collider (EIC) Partner Project All Hands Monthly Brief

In August, the EIC Project team completed cost and schedule updates in P6 for proposed Long-Lead Procurement (LLP) items totaling ~ 100M and held several reviews to advance design maturity.
The EIC Critical Decision-3A (CD-3A) Long Lead Procurement (LLP) Director's Review is scheduled October 10-12, 2023, at BNL, to access readiness for the DOE CD-3A review in November. The review committee has been established and the review agenda is nearing completion. Review speakers will soon be instructed on next steps, including due dates for presentation page turns, dry runs, etc. There will be several members of the JLab team traveling to BNL to attend the review in person, consisting mostly of EICPP leadership and review speakers.
The Project is now starting to practice earned value (EV) reporting on LLP items, R&D, and all design activities. JLab L2 and CAM access to the BNL gateway is required in order to gain access to the Integrated Project Data system for EV reporting. Notification was sent by Sherry Thomas to everyone needing EV reporting access at this time. If you are still in the processing stage for access, it is urgent that you complete any remaining actions needed to acquire access.
Reviews
The 591 MHz Single Cell Cryostat Preliminary Design Review was held on-site at JLab August 16-17, 2023, to assess maturity of engineering design. The review committee closeout report was overall positive and recommendations were provided. The final report is anticipated soon.
The final report was received for the final design review of the EIC Cryogenics Satellite Refrigerator held August 1-3, 2023, hosted remotely by JLab. The final report included three recommendations by the review committee, the 3rd one being “Proceed to CD-3A RFP phase.”

Advanced Photon Source (APS) Magnets from Argonne National Lab coming to Jefferson Lab
JLab staff have continued to work on the logistical efforts surrounding shipping and storage of the magnets upon arrival at JLab. The first girder shipment is now anticipated for the second week of September. JLab continues with sitework and electrical power work to prepare for four 100ft tents that will house the magnets. Upon arrival of the first girder shipment, the JLab team will begin disassembly of the magnet girders in order to reuse the Quadrupole and Sextupole magnets. A total of 122 Quad girders will arrive by the end of October.

Jefferson Lab continues its ramp up of staffing for the EIC Project. There are currently 18 posted positions.

Training
CAM training on earned value reporting hosted by BNL is scheduled on Wednesday, September 6, 2023. A calendar invite has been placed on the calendar for those of you that need to attend this training.

* Several members of the EIC JLab team will be traveling to BNL for the upcoming CD-3A Director’s Review in October. The travel list will be completed soon and an email will be distributed by the EICPP administrative team.

The project is continuing to make good progress towards CD-3A. Comprehensive design reviews were recently completed for both the accelerator systems and detector systems. Both reviews supported the CD-3A long lead procurements that have been identified. Next comes the Director’s Review in October and then the OPA review in November and finally ESAAB in early 2024. In the coming months we will start earned value reporting which will be a phase change to ensuring we are “planning our work and working our plan.” This is usually a stressful transition for a project team and there can be quite a lot of chaos until an efficient system for statusing progress against the plan so do your best to have patience as the project finds its way with this.
